Macquarie University is appointing an Executive Officer to the CIDO, someone who is curious, switched‐on, and ready to operate at the centre of digital strategy and transformation. You will partner closely with our Chief Information and Digital Officer (CIDO) at a pivotal moment in the University's digital transformation. We are looking for someone who is naturally curious about what digital transformation means in practice and how strategy becomes delivery, how technology changes ways of working, and how decisions are made.

Just as important, this is a role for someone who is energised by governance, bringing clarity to complex issues, creating confidence through strong reporting and executive advice, and supporting the forums and processes where priorities, investment and risk are shaped. About the role

Reporting directly to the CIDO (Portfolio of Deputy Vice‐Chancellor People & Operations), the Executive Officer is a critical partner enabling the CIDO and leadership team to focus on strategic priorities while maintaining strong operational governance, stakeholder alignment, and high‐quality executive reporting.

You will operate as a trusted adviser and coordinator across the MQIT leadership portfolio, with exposure to university governance processes and senior executive forums. Your responsibilities will include:

* Provide high‐level executive support to the CIDO, including coordination of IT input to key University activities (reporting, strategic updates, and risk profiles)
* Coordinate, prepare and quality‐assure executive packs, reports, and presentations for University Council and other governance forums (including cyber security, disaster recovery, and project updates), plus ad‐hoc materials for internal and external stakeholders
* Draft and manage high‐quality briefings, correspondence, submissions, reports, and talking points while ensuring accuracy, consistency, and timeliness for senior executive audiences
* Monitor progress across strategic, operational, and project plans, drawing out insights to support decisions and delivery
* Act as a central liaison point for the CIDO office and proactively managing requests, following up actions, and ensuring deadlines are met
* Partner with key internal stakeholders (Legal, Finance, Procurement, HR, Marketing and executive offices) to coordinate governance, reporting and cross‐University initiatives
* Research and synthesise IT trends, policies and practices to inform continuous improvement and strategic positioning
* Support portfolio management activities, including budget oversight support and preparation of advice on complex planning and operational matters
* Assist with issues management, helping identify and resolve emerging matters with minimal organisational risk
* Lead and contribute to projects that support organisation‐wide priorities
* Support team culture initiatives and events that strengthen MQIT engagement and performance
* Improve administrative systems and practices to lift efficiency, clarity and quality outcomes

About you (Selection Criteria)

You are a strategic, highly organised professional who enjoys working at the intersection of technology, governance, and organisational change. You are confident engaging with senior leaders, can handle sensitive information with discretion, and bring the judgement to anticipate executive needs, stay a step ahead, and deliver what's required.

* Qualification in Business or related field and/or equivalent relevant experience
* Demonstrated experience providing high‐level executive support (ideally in a complex environment such as higher education)
* Strong capability working in matrixed organisations and coordinating multiple initiatives simultaneously
* Advanced written and verbal communication skills, including the ability to research, synthesise and present complex information clearly (including PowerPoint)
* Proven experience writing reports, proposals, briefings and submissions for senior leaders and governance bodies
* Strong relationship management skills across diverse internal and external stakeholders
* Understanding of governance, policy and procedural frameworks
* Understanding of Australian higher education (or ability to rapidly develop this)
* Experience analysing and reporting on data
* Demonstrated ability to scope and coordinate projects and improvement initiatives
* Proven judgement and diplomacy in confidential and sensitive matters
* Advanced digital literacy across the Microsoft Office suite and related tools
* Experience supporting C‐suite leaders in technology, higher education or government
* Familiarity with IT governance, digital transformation, cyber/risk reporting, or portfolio management practices
* Knowledge of University governance structures (Council and Academic Senate processes)
* Experience supporting change management and stakeholder engagement at scale
* Experience contributing to culture‐building initiatives in professional services environments
