About the Role
As the Office Manager, you will oversee all office operations, lead our office team, and ensure seamless communication between customers, office staff, production and management. You will be responsible for production scheduling, customer communication, office leadership and maintaining an efficient, well-organised workspace.
Key Responsibilities
Production & Scheduling
Coordinate the production schedule based on invoices, orders, warranty issues and fitting bookings.
Fill out and adjust the production schedule as new orders are placed.
Schedule and manage fitting customers and the fitting calendar.
Work closely with the production team to ensure jobs are on track for expected completion.
Coordinate stock levels and lead times between production and marketing teams.
Collate and filter relevant communication from the office to the Production Manager.
Customer Communication & Experience
Maintain customer communication regarding all orders, updates, lead times and delays.
Manage customer expectations with clear, proactive communication.
Ensure all emails and phone calls are answered promptly.
Contact customers needing assistance via social media and maintain a positive brand voice.
Manage customer escalations professionally and promptly.
Liaise with trade customers regarding orders, schedules and updates.
Ensure all fitting and prototype customer acknowledgement forms are completed and stored correctly.
Manage freight bookings for customer deliveries.
Measure customer satisfaction and ensure customers consistently have a positive experience.
Office Leadership & Administration
Manage all office staff including accounts, sales, design and marketing teams.
Promote job satisfaction and help resolve staff disputes when required.
Recruit, advertise and interview for office-based roles as needed.
Record office staff hours worked and communicate with accounts staff for payroll.
Ensure invoicing is up to date and monitor payment requests.
Order all office supplies, consumables and ensure workspaces are fully stocked.
Maintain an organised, clean and professional office environment—including office spaces, lunch room and product display areas.
Oversee office equipment maintenance and updates.
Implement and maintain the office dress code.
About You
We are seeking a highly organised, proactive Office Manager with strong leadership ability and exceptional communication skills.
You will bring:
Previous management or office leadership experience (manufacturing, automotive or trade industry highly regarded).
Strong organisational skills and the ability to manage multiple tasks, deadlines and people simultaneously.
Excellent customer service skills with experience handling escalations.
A confident, positive communication style both internally and externally.
Experience coordinating production or service-based schedules.
Strong understanding of administrative systems and office software.
A solutions-focused mindset and the ability to work under pressure.
A passion for the 4x4 or automotive industry will be highly regarded.
