About The Role Ingenia is currently seeking a dedicated Administration Officer to join our Health, Safety, and Environment (HSE) team in a permanent role.In this position, you will play a key role in supporting the HSE team by ensuring the smooth operation of systems, maintaining accurate data entry and reporting, and providing reliable day-to-day administrative assistance.If you're an organised and detail-oriented administrator with a passion for efficiency, we'd love to hear from you! Key Accountabilities Manage contractor compliance processes, including account setup, maintaining up-to-date records, and ensuring documentation is complete and currentReview, track, and vet contractor-submitted documents such as insurances, licences, and safety documentsTrack expiry dates of key documents and ensure timely follow-up for renewalsCompile and prepare data to support monthly and ad hoc reporting requirementsMaintain a structured electronic filing system in line with company proceduresIdentify gaps or inconsistenciesProcess purchase orders and invoices for approval and paymentManage the central HSE inbox: triage incoming emails and respond or redirect as neededDraft and edit HSE documentation including templates, reports, and registersAssist with the preparation and formatting of documents, reports, and meeting materialsProvide administrative support for audits, investigations, and compliance checksMaintain version control of HSE documents and formsCoordinate stationery, PPE supplies, and administrative needs of the teamCreate training files and presentations About You You're someone who takes pride in delivering high-quality administrative support with a focus on clarity, efficiency, and service.Previous experience in an administrative role, ideally in a dynamic environmentStrong proficiency in Microsoft Office Suite (especially Excel, Outlook and Word)Excellent attention to detail and a high standard of data accuracyDemonstrated initiative and ability to prioritise tasks independentlyStrong written and verbal communication skillsGood organisation and time management skillsComfortable engaging with a range of internal and external stakeholders in a courteous and professional mannerFamiliarity with Health and Safety or Contractor Management systems - preferredExperience in a safety, compliance, or operational support environment - preferred Culture and Benefits In return, we offer a competitive package, flexibility (including working from home for some roles), extensive training and development, career progression and generous reward and recognition programs including some amazing discounts at our Holiday Parks so come join the team and apply now!
