Who we're looking for?
* Demonstrated experience in lease administration within a retail institutional property environment, with the ability to work independently and manage end to end pre lease workflows.
* Strong understanding of retail leasing principles, legal terminology, and commercial deal structures, with excellent attention to detail and data accuracy.
* Highly organised, deadline driven operator with strong analytical, problem solving and document management skills.
* Excellent communication and stakeholder management ability, comfortable working with leasing teams, legal, centre management, tenants and external solicitors.
* Proficiency across Microsoft Office and lease management systems (MRI, Vault, Vision or similar).
The Role
You will play a critical role in supporting leasing negotiations across a national retail portfolio. You will manage all pre lease documentation, data accuracy, workflow deadlines and stakeholder coordination from Letters of Offer and Heads of Agreement through to final lease execution. Working closely with Leasing Managers, Legal, Centre Management and external solicitors, you will ensure every lease is commercially accurate, compliant, risk checked and ready for handover to the Centre Manager. This role offers the opportunity to operate as a subject matter expert in an experienced team, supporting high profile retail assets.
Key Responsibilities
* Manage the full pre lease workflow, including drafting, reviewing and coordinating Heads of Agreement, Letters of Offer and leasing documentation through to execution.
* Maintain accurate lease data, critical dates and document control within MRI/Vault/Vision, ensuring all information meets compliance and audit requirements.
* Coordinate with Asset Management, Leasing, Legal, Finance and Centre Management to ensure alignment on commercial terms prior to drafting and execution.
* Liaise with external stakeholders including tenants, solicitors and leasing agents, ensuring timely communication and updates throughout the negotiation process.
* Validate commercial deal inputs (rent, incentives, trading conditions, guarantees, licence fees) and escalate any discrepancies or risks.
* Prepare complete, accurate handover packs for Centre Management, ensuring all required documents and commercial conditions are finalised.
