Why this role matters
This role provides high-level executive and administrative support to the Divisional Commander (State Leader) of The Salvation Army in Western Australia, who is the head of The Salvation Army Church in the state and holds overall responsibility for spiritual leadership, mission delivery and organisational oversight across Western Australia.
By supporting the Divisional Commander and contributing to key divisional and organisational processes, this role plays a critical part in enabling effective mission delivery, maintaining professionalism and confidentiality, and fostering strong internal and external relationships across a complex and fast-paced environment.
About the role
As the Executive Assistant, you will provide a full range of executive support to the Divisional Commander. This includes managing daily workflow, coordinating schedules, preparing documents and supporting departmental processes such as HR, IT, property and travel bookings. The role requires a high level of discretion, maturity and the ability to manage sensitive information, including matters relating to safeguarding and senior leadership appointments.
This is a full time, fixed term position for six months based at Divisional Head Quarters in Northbridge. Salary and conditions are in accordance with the Clerks Award, Level 4.
How you will make an impact
* Provide comprehensive executive support to the Head of Department to ensure effective management of their office, schedule and workload
* Manage diary, calendar and email priorities, anticipating needs and proactively resolving issues before they arise
* Support the coordination of deadlines, reporting requirements and Executive Leadership submissions by gathering information, preparing documents and ensuring accuracy
* Arrange travel, accommodation and car hire with all required information prepared in advance
* Provide administrative oversight including document control, record management and the development of reports and presentations
* Support departmental processes across HR, IT, property, expenses and general operations
* Assist with officer events, offsite activities and occasional out of hours commitments as required
* Provide guidance and support to administrative staff within the team, contributing to a positive and well organised working environment
* Build strong working relationships with internal and external stakeholders, including national EA networks and senior leadership teams
* Maintain strict confidentiality and exercise sound judgement when handling sensitive or complex matters
What you will bring
* Certificate III in Business Administration or equivalent experience
* Demonstrated experience providing executive support in a fast-paced environment
* Strong organisational and time management skills with the ability to anticipate needs and manage competing priorities
* Intermediate IT skills and confidence working across multiple systems
* Excellent interpersonal and communication skills
* Ability to maintain confidentiality and work with integrity
* Experience supporting senior leaders or working within a corporate, community services or faith-based organisation is highly regarded
* A current WA Driver's Licence
* Availability to work onsite and support occasional events outside standard hours
