Our Traffic Management Division is growing, and we're looking for a reliable, organised, and proactive Office Administrator to join our team and support our traffic management operations with efficient administrative, clerical, and client-facing functions.


Key Responsibilities

* Respond to and manage inbound emails; maintain professional, timely correspondence with clients and internal teams
* Liaise with clients to coordinate job details, clarify requirements, and resolve administrative queries
* Create and manage job entries in our internal management system
* Check and reconcile traffic controller timesheets for accuracy and completeness
* Maintain and update the job book, ensuring all records are current and accurate
* Upload and manage relevant documents (e.g. traffic plans, permits, safety documentation) for each job
* Generate invoices based on job data, timesheets, and project documentation, ensuring billing is timely and accurate
* Provide general administrative support to the Traffic Management Department as needed (filing, data entry, records management)


Key Skills & Qualifications

* Proven experience in an administrative or office support role
* Excellent written and verbal communication skills, with a strong client-service orientation
* Highly organised, with strong attention to detail and the ability to manage multiple tasks simultaneously
* Proficiency in Microsoft Office (Word, Excel, Outlook) or similar office software; ability to quickly learn internal management systems
* Basic accounting or invoicing experience (or willingness to learn)
* Strong data-entry accuracy and numeracy skills
* Ability to work independently but also collaborate closely with the operations team
* Discretion and professionalism when handling sensitive client and staff information
* (Desirable) Previous exposure to traffic management, construction, or field operations
