Primary objective
To provide a high level of administrative and secretarial support to the Chief Financial Officer (CFO).
Context statement
All divisions within the department are responsible for providing support, strategic and operational advice to assist the organisation to improve its
performance and deliver quality education services across the Northern Territory.
Key duties and responsibilities
1. Provide high level executive administrative and secretarial support to the CFO and other senior executives and managers including processing
all correspondence, maintaining records, initiating follow-up action to ensure deadlines are met, filing, handling telephone inquiries and visitors,
scheduling appointments and meetings, compiling and distributing meeting papers and making travel arrangements.
1. Undertake research projects.
2. Research and prepare high level confidential and sensitive briefings, submissions, reports and correspondence on a range of strategic priorities,
operational policy and procedures.
4. Liaise effectively and discreetly with all levels of staff within the department and with external stakeholders.
1. Build and sustain collaborative relationships and with a variety of stakeholders including the Chief Executive and other senior departmental
staff members, the Minister's Office and other government agencies and external stakeholders
Selection criteria
Essential
1. Proven successful experience working for a senior executive demonstrating developed interpersonal, oral, and written communication skills,
and the ability to communicate effectively at all levels including with the senior executives.
2. Proven capability to operate effectively in a politically sensitive environment while maintaining high standards of professionalism, ethics,
departmental values and accountability.
3. Knowledge and understanding of government and ministerial protocols and procedures including standard formatting of correspondence.
1. Demonstrated organisational and time management skills with the capacity to prioritise and meet competing deadlines and work under
pressure while maintaining quality of end product.
1. Proven ability to develop, maintain, apply and provide advice on procedures for administrative processes such as procurement, credit card
management, travel arrangements and records management.
6. Extensive knowledge in computer systems including word processing, spreadsheets and email.
7. Ability to work effectively in a collaborative and agile team, demonstrating ability to achieve outcomes using problem solving and influencing
skills.
8. Ability to implement robust monitoring and evaluation systems to identify areas for continuing improvement.
9. Demonstrated ability to interact effectively with people from diverse cultures and backgrounds.
Desirable
1. Knowledge and understanding of government and departmental processes including preparing high level reports, discussion papers and
correspondence including Ministerial and executive briefings.
2. Contemporary knowledge of relevant legislation, policies and procedures.
3. Knowledge of education systems and the strategic directions and objectives of the Department of Education and Training, and Northern
Territory Government.
