The Role
As the Document Controller, you will report to the Senior Operations and Controls Manager and play a key role in managing the flow of information across the organisation. Based in either Sydney or Brisbane, you will ensure all documents are accurately stored, tracked, and easily accessible to the right teams. You'll maintain a structured and compliant filing system, oversee document creation, approval, distribution, revision, and archiving, and ensure adherence to company and regulatory requirements. In this role, you will directly support project teams across development, construction, commissioning, and operations, ensuring the accuracy, traceability, and integrity of all controlled documentation throughout each stage of the project lifecycle.
Your Responsibilities Will Include, But Are Not Limited To
* Create, maintain, and update controlled documents, ensuring accuracy, traceability, and version control.
* Manage structured electronic filing systems and oversee document workflows across their full lifecycle.
* Distribute controlled documents, managing access permissions and maintaining confidentiality.
* Ensure compliance with company, regulatory, and quality standards, and support internal and external audits.
* Train staff on document control processes, systems, and best practices.
* Support project teams by coordinating RFIs, technical submittals, design revisions, and transmittals across development, construction, commissioning, and operations.
* Track project drawings, revisions, and final approved documentation to support project delivery and handover.
* Administer and optimise EDMS platforms (SharePoint, inEight, Scenario, Procore, Aconex) to ensure configuration integrity and alignment with ISO requirements.
* Assist with commissioning and operational handover documentation, including Operations and Maintenance manuals, asset registers, and safety documentation.
About You
With a minimum of two years' experience in document control or a similar administrative role, you have exceptional attention to detail and strong written and verbal communication skills. Your accuracy in handling documents, combined with your strong organisational skills, ensures you can work autonomously, meet deadlines, and adapt to changing priorities in a fast-paced environment. You are proactive, a great team player, and maintain confidentiality when handling sensitive information. With a genuine interest in sustainability, you are motivated to contribute to a greener future.
To help you succeed in this role, you will have:
* An associate or bachelor's degree in business administration, information management, or a related field (highly desirable)
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other document management software.
* Experience working with document management systems such as SharePoint, inEight Scenario, Procore or Aconex (highly desirable).
* Understanding of metadata standards, document numbering systems, revision control, and governance frameworks
* Exposure to engineering, construction, commissioning, or operational documentation within infrastructure or energy projects (advantageous)
* Familiarity with industry regulations and standards, such as ISO, OSHA, etc. (advantageous).
