We are an Australian owned company based in Seven Hills specialising in water purification systems, with branches located in NSW, VIC and QLD.
Our focus is providing exceptional customer service and building long standing relationships with our clients.
This role contributes to the business success by acting as an administration and service support person predominantly within the NSW operation, but also working closely with the VIC and QLD administration team.
This role involves co-ordinating and managing service scheduling and contract renewals, quotes and tenders; providing direct support to the Sales Manager and service technicians.
Customer Service
Handle incoming calls and email queries
Direct sales and technical enquiries to the appropriate person
Enter customer orders into the ERP system (Arrow Tencia), print delivery dockets, and dispatch orders where applicable
Manage and maintain customer relationships with existing and new clients
Maintain customer database for marketing and sales purposes
Service Management
Ensure the NSW monthly recurring services are scheduled as per timelines required and that all clients and service technicians are aware of their service schedules
Oversee the NSW service stock
Make accommodation bookings for technicians when travelling
Update the ERP system based on service reports
Work closely with the NSW technicians and Sales Manager to manage quoting and costing, renewing and executing of service contracts, ensuring a service report is completed for all works and submitted to the client with the invoice
Provide support to the NSW technicians to enable them to undertake their daily tasks and responsibilities
Work with the Operations Manager to assess the outstanding order report to ensure all orders and services are being finalised and invoiced
Inventory Management
Support the completion of stocktakes and cyclical counts
Assist in the management of product returns and warranties
Ensure service dockets are correct and fully completed
Manage stock levels within the NSW operation and prepare requisitions to have stock ordered to cover customer orders, current services and stock requirements
Job Costing Projects
Work as part of a team to ensure job costing projects are executed
Coordinate with the Sales Manager and technicians to ensure stock or parts are ordered for job costing projects
Liaise with the Sales Manager (or Operations Manager) to schedule technicians for job project tasks
Finance
Process telephone payments where required when customers call to pay their invoices
Assist with follow-up of outstanding debtors
Branch Support
Provide branch support in all aspects to the NSW administration, sales and technical team
Communicate issues or branch matters that need addressing to the Sales Manager or Operations Manager
Ensure all company policies and procedures are adhered to within the branch
Assist the Sales Manager with tender documents and proposals when requested or required
Required Knowledge, Skills and Experience
Minimum 2 years of administrative and office management experience
Experience with internal sales, service contracts and assisting with tender documentation and proposals
Strong communication and customer service skills
Experience and sound knowledge of Microsoft products and previous experience working within an ERP system
Self-motivated and organised
Attention to detail and ability to multi-task
The role is offered on a 5-day per week basis, and would suit an applicant working "School Hours" – i.e. ***** hours per week.
Due to the nature of this role, WFH options are not available.
