Electoral Commission SA is seeking a highly experienced and dynamic Executive Assistant to deliver efficient, confidential, and proactive support to the Electoral Commissioner and the broader executive team.
The Executive Assistant will provide high-level executive, clerical, and secretarial support, including managing diaries and correspondence, coordinating meetings, and preparing agendas, papers, and minutes. The role also involves arranging travel and ensuring accurate records management, including file creation, monitoring, sentencing, storage, and disposal.
Reporting to the Electoral Commissioner, key responsibilities include:
* Ensuring executive leaders are provided with advice and support on all appointments, events, correspondence, including coordinating appropriate briefing materials and information.
* Providing secretariat services for meetings, including preparing agendas, collating and disseminating briefing papers, coordinating venues and catering, taking and writing minutes and following up on actions.
* Assisting with the provision of reception service for visitors, including acting as a back-up during periods of leave
* Liaising with and manage relationships with a range of stakeholders, including the Minister's Office, other agencies and internally across all ECSA teams.
* Drafting correspondence, procedures and providing document quality assurance services, include word processing, formatting documents, creating and maintaining databases.
* Aiding the Manager, Risk and Performance in handling Freedom of Information applications.
Applications are encouraged from individuals with exceptional interpersonal and relationship skills, a proven track record in providing executive-level clerical and secretarial support, and strong time management capabilities, including the flexibility to adapt to shifting priorities and daily demands.

* Employment is dependent upon a criminal history check that the Commission finds satisfactory.
* Extensive out of normal working hours duty may be required during the period of an election.
* Some interstate and intrastate travel may be required.
Remuneration
ASO3 – $67,589 to $72,033 per annum
