Sharp Property Buyers is an award-winning, boutique buyers agency based in Terrigal. We're looking for a detail-driven Administration & Settlement Assistant to join our investment division. About the Role
Your primary focus will be coordinating the settlement process once a client secures a property ensuring timelines are met and nothing slips through the cracks. Alongside this, you'll provide broader administrative support throughout the client journey, helping keep systems, communication and documentation running smoothly. You'll work closely with two other Buyers Agents as well as our Founder & Director (Matt Sharp) to ensure clients feel informed, supported and confident every step of the way.
Key Responsibilities:
• Organise walkthroughs, appraisals, inspections and all post-exchange tasks
• Liaise with solicitors, brokers, property managers and other professionals
• Monitor rental campaigns to ensure properties are tenanted in time for settlement
• Provide proactive, clear and timely communication so clients always know what's next
• Escalate and resolve issues quickly to avoid delays
• Maintain accurate records and update our CRM
• Assist with post-settlement steps such as insurance and depreciation reports
• Provide general administrative support to the team

About You
We're looking for someone who is:
• Highly organised with strong attention to detail
• Excellent communication skills – friendly, professional and proactive
• Ability to manage competing priorities and deadlines
• Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams)
• Confident using technology and learning new systems
• Previous experience in property or real estate is preferred but not essential
• Willingness to obtain a Real Estate Certificate of Registration (if not already held)
• Ambitious and eager to build a long-term career, with the potential to progress
