Your new role
Senior Executive Team Assistant supporting the Institutional Equities division from the Sydney trading floor. You will manage complex diaries and travel, coordinate multi‑timezone calls and client events, prepare polished internal and external presentations, and provide day‑to‑day executive support including expense management and visitor coordination. The role requires close collaboration with traders, senior executives and front‑office teams and occasional hands‑on support for ad‑hoc projects and client requests.
Key duties
- Manage extensive diary and meeting logistics in Outlook for senior stakeholders.
- Coordinate detailed domestic and international travel bookings and approvals.
- Process AMEX/expense reimbursements via Concur.
- Arrange meeting rooms, catering and reception/concierge coordination for visitors and client lunches.
- Screen busy phone lines and provide high-quality front‑of‑house support.
- Schedule and run conference calls across time zones and manage virtual meeting platforms.
- Prepare and format client and internal presentations in Microsoft Word, Excel and PowerPoint.
- Maintain training registers, update CRM entries and action client research requests.
What you'll need to succeed
- Proven EA or Executive Assistant experience, ideally within finance or trading floor environments.
- Exceptional diary management and time prioritisation skills with strong Outlook proficiency.
- Advanced Microsoft PowerPoint, Word and Excel skills; confident with Zoom and other virtual meeting tools.
- Experience with Concur or similar expense systems and high attention to detail for reimbursements.
- Excellent verbal and written communication, professional presentation and client‑service orientation.
- Ability to work autonomously under pressure while contributing positively to a collaborative team.
- Flexibility to support senior visitors and adapt to the quick pace and confidentiality requirements of a trading floor.
