Primary objective

Provide project and administrative support to the Resolution and Assurance Services team, including preparing and

distributing correspondence and assisting with requests for information, freedom of information (FOI) searches, audit and

assurance processes.

Context statement

Resolution and Assurance Services is responsible for managing the department's assurance activities including complaint

resolution, strategic risk management, internal audit, and information and privacy management support. The team also

maintains and promotes integrity policies and procedures, including conflict of interest, gifts and benefits, fraud control and

integrity body requests.

Key duties and responsibilities

1. Support the efficient operation of the unit through generic email inbox management and the completion of finance, travel,

recruitment and procurement administrative tasks.

2. Provide administrative support to the unit including accurately entering and maintaining records in case and business

information systems, preparing meeting agendas and minutes, and drafting memorandums and correspondence for

distribution to internal and external stakeholders.

1. Support administration of information management, requests for information and FOI searches, maintain relevant

registers, provide general project support and assist in drafting memorandums and correspondence.

1. Provide project, research and analysis support to the audit, risk and information management functions of the team.

Manage general enquiries and liaise effectively with departmental officers, school-based colleagues, the general public

and external agencies to assist in the smooth day to day operations of the unit.

1. Record and monitor documents and files in TRM, including the effective secure and confidential handling of documents.

Selection criteria

Essential

1. Demonstrated experience supporting efficient team operations, including managing shared inboxes and coordinating

routine finance, travel, recruitment and procurement processes.

2. Well-developed administrative skills, including accurate data entry and record maintenance in business systems,

preparation of agendas and minutes, and drafting clear and well-structured correspondence for internal and external

stakeholders.

1. Ability to support information management activities, including coordinating information and FOI search requests,

maintaining registers, and preparing project documentation in line with established procedures.

1. Proven ability to provide project, research and analysis support to audit, risk and information management functions, and

to manage enquiries while liaising effectively with staff, schools, the public and external agencies.

1. Competence in using TRM to record, track and manage documents, ensuring secure, confidential and compliant handling

of sensitive information.
