Allstaff Australia is recruiting on behalf of the Department of Agriculture and Fisheries' National Fire Ant Eradication Program (NFAEP). This key AO4 role provides direct executive-level support to the General Manager and Senior Leadership Team within a high-profile state government program delivering large-scale biosecurity operations.
AO4 General Manager Support Officer
Provide high-quality, confidential executive support to the General Manager, including:
* Executive diary, inbox, and workflow management —prioritising appointments, coordinating deadlines, and ensuring the GM is fully briefed for meetings.
* Preparation of executive documents —drafting and formatting briefing notes, minutes, agendas, submissions, reports, and correspondence in line with Queensland Government standards.
* Governance coordination —supporting committees, leadership forums, project meetings, and reporting cycles; tracking actions and ensuring accountability across operational teams.
* Stakeholder liaison —acting as a key contact point for internal and external stakeholders, including government agencies, program directors, operational teams, and external partners.
* Records and document management —maintaining accurate files using government systems (e.g., HP Content Manager/RecFind/TRIM) and ensuring compliance with record-keeping legislation.
* Logistics and operational support —coordinating travel, procurement requests, meeting logistics, staff onboarding, and business operations tasks.
* Confidentiality and professionalism —managing sensitive information and supporting executive decision‑making in a fast‑paced, high‑risk public sector environment.
Essential requirements
* Demonstrated experience providing executive or administrative support within Queensland Government or a similar complex public sector environment.
* Strong understanding of government processes including briefing note preparation, governance reporting, approvals pathways, and record‑keeping requirements.
* High‑level written and verbal communication skills with the ability to prepare clear, accurate and professional documentation.
* Highly developed organisational skills, including the ability to manage competing priorities and meet tight deadlines.
* Proficiency with Microsoft Office and government document management systems (e.g. HP Content Manager/RecFind/TRIM).
* High attention to detail, discretion, and the ability to handle confidential and sensitive information appropriately.
* Australian Citizenship, Permanent Residency, or valid visa with full work rights.
* Current 'C' Class driver's licence.
