HOPE has been a community service in Western Australia for over a century, providing much needed support to people affected by alcohol and other drugs, mental ill-health, youth justice issues and socioeconomic disadvantage.
We have an exciting opportunity for a Business Support Coordinator to join the Goldfields Community Alcohol and Other Drugs team. The position is full time, working Monday to Friday.
About the Opportunity
The Business Support Coordinator is responsible for providing professional and senior level administrative support to HOPE’s Service streams and the wider organisation. The role involves ensuring the effective and efficient operation of all Administration functions within the organisation.
This position also involves developing and updating administrative systems and processes that ensure standardisation of record management and document storage to ensure compliance with HOPE’s policies and requirements.
Requirements of the Role:
* Effectively manage and oversee Hope’s Services administration function by planning, developing and implementing efficient and standardised administrative systems and processes.
* Manage and supervise the administrative staff within the Services team to ensure the smooth facilitation of the administrative function.
* Produce high quality reports for a variety of internal and external stakeholders
* Effectively oversee the level of customer service delivered to all internal and external stakeholders by ensuring efficient and timely responsiveness by the administrative staff.
* Coordinating travel arrangements, developing complete and comprehensive itineraries, booking flights and accommodation, and arranging meetings and visits.
* Exercising discretion in organising and maintaining the electronic diary including managing telephone calls and visitors, arranging and coordinating appointments, meetings and functions, and the preparation and provision of appropriate documentation to assist with meetings.
About you:
* Experience as an office manager, administration officer, project manager or similar
* Highly developed organisational and project management skills including managing complex workloads with competing deadlines, including strong self-management skills, being adaptable, responsive, proactive, self-motivated, ability to multi-task and prioritise work
* Policy development and implementation skills
* Proficiency in generic computer programs:
* Demonstrated ability to work without supervision
* Record and transcribe minutes of meetings
* Work within a team environment
Desirable Criteria:
* Experience in a similar role within a community-based organisation
* Enjoyment of working within a multidisciplinary workplace with complex targets and competing short term/long term demands
Appointments will be subject to Australian residency/visa, satisfactory National Police check (within 3 months), Working With Children card, Current C or A class driver's license, First Aid Certificate, and suitable work referees.
