This public healthcare provider's focus is on maintaining safety, stability, and continuity of hospital services for the communities they serve.
Your new role
This role provides high‑level executive and administrative support to the Service Group Director and Medical Director of the Medical Service Group, ensuring the effective functioning of the Management Team. You will guide and support a small team of administrative officers to deliver efficient, confidential, and high‑quality support services, contributing to governance and operational effectiveness.
Key responsibilities and duties include:
* Providing confidential executive and secretarial support to the Service Group Director and Medical Director to ensure effective preparation, coordination, and follow‑up of priorities.
* Operationally supervising and supporting a small team of administrative officers to achieve service delivery objectives.
* Leading and supporting the professional development, performance management, and wellbeing of direct reports while fostering a safe and healthy work environment.
* Coordinating and providing secretariat services for Service Group meetings as required, including preparation of agendas, minutes, and action tracking.
* Assisting with the preparation and quality assurance of briefing notes, complaint responses, reports, and ministerial correspondence.
* Managing general office administration for the Management Team, including records management, correspondence, scheduling, travel, accommodation, and events.
* Acting as an intermediary between executives and stakeholders by screening, prioritising, and redirecting enquiries appropriately.
* Processing recruitment, selection, and payroll documentation in accordance with relevant policies and procedures.
* Contributing to the development, implementation, and review of administrative processes and work practices.
* Building and maintaining effective working relationships with internal and external stakeholders.
* Exercising approved financial delegations and ensuring accountability for expenditure.
What you'll need to succeed
To succeed in this role, you will need to possess the following:
* Bring strong administrative and organisational skills, supported by experience in senior-level administrative or executive support.
* Lead and support a team effectively, taking responsibility for performance, development, and outcomes.
* Reflect on leadership practice, pursue continuous learning, and drive service improvement.
* Manage workloads confidently, prioritising tasks and working both independently and within a multidisciplinary team.
* Communicate clearly and professionally through high-quality writing, advice, problem-solving, and decision-making.
* Build positive working relationships by being approachable, listening well, and handling difficult conversations with respect.
* Use advanced Microsoft Office skills, with the ability to quickly learn new systems and programs.
* Whilst not mandatory, a qualification in Business Administration (or equivalent) and experience as a secretarial support at a senior level would be highly regarded.

The hourly rate is $60.05 + super.
