About the Position

SchoolsOUT is a rapidly growing organisation operating across multiple locations including the Macedon Ranges, Mitchell Shire and the Echuca/Riverina region. At SchoolsOUT, we are passionate about delivering exceptional quality care for children and providing strong operational support to our services and families.

This is an exciting opportunity to join a growing organisation in a pivotal administration role. As our OSHC Administrator, you will work closely as the right-hand support to the Operations Manager, playing a key role in the smooth and efficient running of our services across all locations.

This position is based in New Gisborne, 5 days per week (9:00am–5:00pm). During school holiday periods, some flexibility may be required (e.g. 8:00am–5:00pm) to support operational needs.

This role is ideal for someone who thrives in a fast-paced, dynamic environment where no two days are the same. You will be managing competing priorities, compliance documentation, CCS administration, reporting, and operational tasks with a high level of accuracy and organisation.

The Role

As the OSHC Administrator, you will oversee administrative operations across our portfolio of services and act as the key administrative support to the Operations Manager and leadership team.

This is a hands-on, high-responsibility role suited to someone experienced in administration and Child Care Subsidy (CCS) processes, with strong attention to detail and the ability to work in a fast-paced environment.

Key Responsibilities
* Act as the primary administrative support and right-hand to the Operations Manager

* Provide support to OSHC Area Managers and Coordinators including enrolments, bookings, rostering, timesheets, debt reporting, CCS and family communication

* Be the first point of contact for emails, phone calls, OWNA notifications and general enquiries

* Oversee and ensure all medical documents are uploaded, stored and maintained accurately in line with compliance requirements

* Maintain and update staff records and ensure all required documentation is uploaded, current and audit-ready

* Run and provide operational, compliance and administrative reports as requested by the Operations Manager

* Support marketing creation including newsletters, flyers, family communications and promotional materials

* Assist with website updates and maintaining accurate online service information

* Assist with recruitment, onboarding and induction documentation

* Monitor and maintain service compliance documentation and systems

* Maintain accurate administrative systems to support smooth service operations and compliance

* Support improvement initiatives including family surveys and administrative process improvements

* Maintain a sound and current understanding of the National Quality Framework and Family Assistance Law

* Comply with, maintain and review all SchoolsOUT policies and procedures in line with Education and Care Services Regulations

* Promote child wellbeing by adhering to Child Safe Standards

* Assist with administrative and operational projects delegated by the management team

About You
* Proven experience in administration (essential)

* Demonstrated experience managing CCS processes and childcare administration (essential)

* Highly organised with exceptional attention to detail

* Ability to multitask and manage competing priorities in a fast-paced environment

* Proactive, reliable and solutions-focused

* Strong communication skills (written and verbal)

* Confident handling confidential records and compliance documentation

* Ability to work closely with leadership while also working independently

* Creative mindset with an interest in marketing and communications (highly valued)

Job Requirements
* Minimum 2+ years of administration experience required

* MUST have experience with Child Care Subsidy (CCS) and childcare/OSHC administration (essential)

* Valid Employee WWCC (or willing to obtain)

* Excellent computer skills including Microsoft Excel, Word, SharePoint and Teams

* Strong data entry, reporting and documentation management skills

* Ability to manage compliance records and large volumes of documentation

* Creative and marketing experience highly valued

* Experience updating websites or digital content (highly regarded)

* Own car and reliable transport
