Role Overview

We are seeking a highly skilled and dedicated professional to fill the role of Administrative Officer. This position will play a vital part in supporting our team and ensuring the smooth operation of our centre.


About the Role



* Greet clients and visitors with warmth and professionalism, creating a positive first impression.

* Manage reception duties, including phone enquiries, appointment bookings, confirmations, and the preparation and maintenance of client files, upholding confidentiality and privacy at all times.

* Support administrative tasks related to meetings and events, such as room bookings, catering, and event planning.

* Assist with the setup and maintenance of the reception area and other client spaces, ensuring they are clean, tidy, and welcoming.

* Manage petty cash, data entry, and general office support, ensuring accuracy and efficiency in all tasks.

* Support Medicare billing, mental health care plan tracking, and liaison with GP clinics and our Youth Health Clinic, providing exceptional customer service at all times.

* Assist with bookings and referrals to external providers, including psychiatrists, psychologists, doctors, and other professionals, as required.

* Provide administrative support across the centre, supporting all programs working within the headspace Eastern Shore Centre.




Skills and Qualifications



* High school diploma or equivalent.

* Excellent communication and interpersonal skills.

* Ability to work effectively in a team environment.

* Strong organizational and time management skills.

* Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.

* Experience in administrative roles, preferably in healthcare or a related field.
