We are now seeking a highly organised and proactive Medical Administrator / Personal Assistant to support our medical team and leadership, ensuring the smooth day-to-day operation of the clinic and associated business portfolios.
The Role
This is a hands-on, in-house role ideal for a detail-oriented professional who thrives in a fast-paced medical environment. You will act as a key point of support for doctors and management, balancing clinical administration with personal assistant responsibilities. This role requires discretion, initiative, and exceptional organisational skills.
Key Responsibilities
* Manage day-to-day medical administration, including patient bookings, confirmations, and follow-ups
* Provide personal assistant support to senior doctors and directors
* Coordinate doctors' schedules, clinics, meetings, and travel arrangements
* Liaise with patients, practitioners, suppliers, and external partners professionally and confidentially
* Maintain accurate patient records, correspondence, and clinical documentation
* Prepare letters, reports, and administrative documents as required
* Assist with billing, invoicing, and Medicare/private billing processes (where applicable)
* Support onboarding of new doctors and practitioners
* Ensure compliance with medical, privacy, and clinic protocols
* Assist with general office management and ad-hoc administrative tasks
About You
* Two years experience in a medical administration, executive assistant, or personal assistant role
* Strong understanding of medical practice operations (medical or allied health experience preferred)
* Exceptional organisational skills with the ability to multitask and prioritise
* High level of professionalism, discretion, and attention to detail
* Excellent written and verbal communication skills
* Confident using practice management systems and Microsoft Office / Google Workspace
* Calm, adaptable, and proactive with a problem-solving mindset
Nice to Have
* Experience working in cosmetic, surgical, or specialist medical practices
* Familiarity with Xestrp or similar medical software
* Experience supporting senior clinicians or business owners
* Understanding of compliance, accreditation, and medical documentation
