The Reception and Administration Officer role is an important position as part of our Canberra HQ office team, with responsibility for helping to create a welcoming, friendly, and professional first impression, and point of contact for both visitors and staff. This role requires someone who thrives in a dynamic, fast-paced environment and is dedicated to maintaining a well-presented and positive atmosphere within the office. The position combines administrative support and responsibilities, contributing to smooth daily operations and the experience of a welcoming workplace culture at Canberra HQ. The successful candidate will be organised, proactive, a team player, and motivated to deliver outstanding reception duties, office support, and administration associated with viva’s internal People and Culture function. This is a full-time position, but may also lend to a part-time job-share arrangement for 2 suitable candidates who can coordinate the role as an effective team.
KEY RESPONSIBILITIES
* Be the Face of Viva Leisure: Greet and assist visitors, clients, and staff with a warm, professional attitude.
* Office & Kitchen Management: Keep our reception area tidy and welcoming, manage office and kitchen supplies, and ensure cleanliness across all common spaces.
* Meeting & Car Management: Set up meeting rooms, manage bookings, and handle company car reservations, ensuring everything runs seamlessly.
* System & People Support: Provide vital system administration support and assist with internal policy updates. Help out the People & Culture team with staff memberships, engagement activities, and administrative tasks.
* Multitasking with Ease: Be the hub of the office, managing emails, phone calls, and ad-hoc administrative tasks, all while ensuring the smooth day-to-day operations.

* Organised & Proactive: You excel at multitasking, keeping everything running like clockwork. You’re detail-oriented, a great problem solver, and can anticipate what needs to be done before it's even asked.
* Customer Service Excellence: You love delivering outstanding service and are always friendly and approachable.
* Tech Savvy: Comfortable using office systems and software, including internal tools, Microsoft Office, and meeting room management software.
