Administration Officer – Grant Funded Programs

We are now seeking a highly organised and proactive Administration Officer – Grant Funded Programs to support our Education Consultancy and Volunteerability teams.
About the Role
This is a dynamic and varied administration role where you will play a key part in supporting the delivery of impactful, community-focused programs.
You will be responsible for ensuring the smooth day-to-day running of both programs through high-quality administrative support, coordination of events and activities, and maintaining accurate systems and records.
Key Responsibilities
Program Administration
* Manage shared inboxes and respond to enquiries in a timely, professional manner
* Maintain accurate databases, records, and client information
* Prepare and distribute documents, reports, newsletters and promotional materials
* Coordinate meeting agendas, minutes and follow-up actions
* Assist with presentations, program updates and resource development
Event & Activity Coordination
* Support the planning and delivery of events, training and Volunteerability activities
* Coordinate bookings, venues, catering and participant communications
* Assist with travel arrangements for regional program delivery
* Provide on-the-day event support including set up and pack down
* Contribute to social media content (Facebook, LinkedIn, Instagram) and website updates
Operational Support
* Order program materials and supplies
* Maintain organised filing systems (digital and physical)
* Assist with program tracking, reporting and compliance requirements
* Provide general administrative support across both teams
* Build strong, professional relationships with internal and external stakeholders
* Contribute to a positive, collaborative and solution-focused team environment
About You
* Experience in an administrative or office support role
* Strong Microsoft Office skills and confidence with databases/CRM systems
* Excellent written and verbal communication skills
* High attention to detail and strong time management
* Ability to use initiative, exercise sound judgement and meet deadlines
* Commitment to confidentiality and accurate record keeping
* Qualifications in Business Administration (or similar)
* Experience in community services, education, disability or not-for-profit sector
* Experience with Mailchimp and social media platforms

* NDIS Worker Check
* Working With Children Check (if required)
* National Police Check
* Current Driver's Licence
* COVID-19 and other required vaccinations
* Completion of the NDIS Worker Orientation Module
