Job Purpose
Provide technical and project management support to an individual, team or a function, which typically includes tasks such as planning support, scheduling, data entry; the maintenance of financial records; compiling of reports; the processing and completion of forms, stakeholder communications; team meetings / event logistics; and in-field support to Maintenance and Projects teams, including safeworking duties and other technical rail activities within their level of competence and the National Rail Competency Framework.
Key Responsibilities
Manage governance and formal correspondence for the Enhancements Team.Support Infrastructure Leadership and internal/external client-based activities.Monitor and support overall job planning and programming including short & mid-term activities.Facilitate asset management system updates (i.e. Hexagon / SharePoint configuration changes and records maintenance)Manage procurement and accounting activities on behalf of the enhancement team, including obtaining quotes, raising purchase orders, invoice validation and processing through the UGL's vendor invoicing system (VIMS). Maintain committed costs for enhancement project activities.Manage Enhancement team finance reporting requirements including project creation & approvals in SAP, monthly reporting to client & UGL, including monthly forecasting and forecast to completion.Support Enhancement team where required with commercial requirements in relation to payment claims upstream & downstream in accordance with contractual payment terms and Security of Payments Act.Develop and maintain filing, databases & registers as required, storing information accurately and safely.Ensure expenses, invoices and timesheets are processed and are in line with contractual obligations.Analyse and use document and record management, progress, project performance reporting and compliance reporting.Assist in the creation and preparation of correspondence, documents, reports, presentations, and/or publications relevant to the project's operations.Provide administrative support which may include arranging and attending meetings, conferences, functions, taking and distributing minutes, and making travel and accommodation arrangements.Provide customer service and assistance to the client, external vendors, subcontractors, and community stakeholders as required.Qualifications
High School Certificate Typical
Certificate III in Business Administration
Minimum 5 years' experience in an office or project environment
