Our approach is to always understand the environment we need to operate in, that’s why we have trained professionals operating within each state, who can combine their skills with their local knowledge to provide innovative solutions catered to a customer’s specific needs.We're looking for an Executive Assistant/ Office Management personnel to support our Managing Director and the leadership team.The successful candidate will have the drive and willingness to work in a fast-paced and complex environment.Duties include:Manage the Managing Director’s calendar, schedules, meetings, agendas, and travel arrangements.Arrange travel requirements as required including but not limited to flight bookings, taxi and accommodation.Provide a high standard of confidential administrative support to Managing Director and the Leadership team.Prepare, format, and distribute material for meetings, including minute taking during meetings, manage logistics and maintain relevant registers for meetings.General administration duties included but not limited to filing, scanning and faxing documents.Preparation of report writing and presentations.Liaise with internal and external stakeholders on behalf of the Managing Director.Respond to email requests and phone calls in a timely manner.Maintain confidentiality in responding to correspondence and relevant queries that arise.Information management that requires preparation and sign off from the Managing Director and the leadership team.Create, implement, and maintain processes and systems for effective office administration of the Managing Director's office.End-to-end project management of various events on an annual basis.Point of contact for any complaints that come through and manage them accordingly and escalate to appropriate staff and the leadership team.Ensure all deadlines are adhered to.Support the Managing Director and the Leadership team with any other duties as required.Skills and experienceMinimum of two years experience in a similar role, preferably in a fast-paced environment.Extensive executive office administrative experience to a senior position.High attention to detail.Good communication skills and can multitask.Advanced level computer skills in Microsoft Office Suite and experience with database applications.Benefits and perksM.A. Services Group has a very generous remuneration package.
