Women's Health and Equality Queensland (WHEQ) are leaders in women's health, gender equality, and the primary prevention of violence. We have two offices located on unceded Jagera and Turrbal Land in South Brisbane, with many of our services spanning across the entire state.
ABOUT THE ROLE:
This position provides high-level executive support to the CEO, and at times the COO and wider Business Services Team. You will be an experienced Executive Assistant who brings outstanding written and verbal communication skills, strong organisation, sound judgement and the ability to navigate a fast-paced and evolving environment. Adaptability, a strong sense of initiative, attention to detail, and discretion are essential.
In addition to managing the CEO’s inbox and diary, you will play a key role in supporting the day-to-day operations of the organisation, contributing to strategic projects alongside the COO and driving high-quality written work. You will provide secretariat support to the WHEQ Board, draft reports, prepare agendas and briefings, organise events, coordinate meetings, and ensure the smooth functioning of Executive and organisational processes. This position requires the highest standards of confidentiality, professionalism and trust.
WHAT YOU'LL DO:
* Responding to emails and communication on behalf of the CEO, including organising her diary and coordinating meetings.
* Writing reports, researching, preparing data, project planning and delivery.
* Supporting the operational and strategic needs of the organisation.
* Secretariat support to the WHEQ Board.
* Organising meetings, creating agendas and minute taking.
* Ensuring records are maintained accurately and in a timely manner, and confidentiality is protected.
* Supporting culture and workplace activities, such as internal communications, staff engagement surveys, and regular staff wellbeing events.
* Supporting key strategic initiatives and the day-to-day operations of the organisation.
* Engagement in continuous improvement processes across the organisation.
ABOUT YOU:
* Proactive and adaptable, with a positive outlook who can uphold high levels of confidentiality.
* Qualifications in Business Management or a related field (with administration experience) OR Experience in an Executive Assistant role
* You must have excellent communication skills – both written and verbal
* Passion or interest in the prevention of gender-based violence, women’s health and wellbeing, and related social issues in line with WHEQ’s vision and purpose.
* An ability and commitment to creating a positive work environment and strong organisational culture while contributing to the development and achievement of the goals and visions of the organisation.
KEY REQUIREMENTS:
* Demonstrated ability to work effectively both independently and as a member of a multidisciplinary team.
* Highly organised, with the ability to prioritise time and manage competing tasks.
* Well-developed strategic oral and written communication skills including the alibility to effectively engage in meaningful ways with a diverse range of backgrounds and cultural groups.
* Ability to actively understand and support WHEQ’s vision and strategic goals and communicate these effectively.
* Uphold high levels of confidentiality and integrity, liaising with others in a professional, respectful and constructive manner.
* Experience in initiating and managing productive relationships with partner organisations and other stakeholders.
* Strong knowledge and proficiency with MS Office Suite.
* Current Working with Children Check or ability to obtain.
