Program Support Officer
We are seeking a motivated Program Support Officer to provide high-quality administrative and communications support to the Governance and Design team, the broader Stakeholder Management unit, and the North Coast Region. This role plays a key part in ensuring the team achieves its strategic outcomes and priorities.
Reporting Line
* Reports to: Senior Communications Advisor (Governance and Design)
Key Responsibilities
* Manage a busy shared inbox, triaging executive correspondence, preparing push-out communications, and maintaining accurate tracking records.
* Provide comprehensive administrative and logistical support, including coordinating meetings, media monitoring, and managing documents and filing systems.
* Maintain and improve support systems such as databases, spreadsheets, reports, and internal communication channels.
* Assist with compliance and governance processes across the team.
* Compile and prepare content and data for regular reports for internal stakeholders across the region.
* Support community engagement activities, including coordinating materials, printing, packaging, and logging stakeholder interactions.
* Build strong working relationships with internal teams and external stakeholders to ensure smooth communication and workflow.
* Contribute to process improvements and larger team projects, including updating guidance resources, document management, and filing systems.
Mandatory Requirements
* Proven experience managing high-volume inboxes and delivering accurate, professional email communications.
* Strong administrative and governance skills, including proficiency with databases and accurate data entry.
* Excellent time management, prioritisation, and problem-solving skills to meet deadlines.
* Attention to detail with strong written and verbal communication skills.
* Commitment to providing high-quality, responsive customer service.
* Ability to work independently and collaboratively within a team.
* Proficiency in Microsoft Office Suite, Teams, and SharePoint.
* Demonstrated commitment to promoting respect, inclusion, and diversity.
Desirable Requirements
* Experience in process improvement, including identifying inefficiencies and implementing solutions.
* Knowledge of state government processes and policies.
