About the Practice
Gippsland Specialist Group is the first and leading procedural multidisciplinary private specialist practice in Gippsland providing Gastroenterology, Breast Surgery, General Surgery, General Medicine, Urology, Upper Gastrointestinal Surgery and Medical Oncology services to the Gippsland region. Located in a beautifully renovated heritage building in Drouin, the practice is warm, patient-centred and highly collaborative, with strong administrative and clinical support systems.
About the Role
As our team expands, we are seeking an enthusiastic Medical Secretary to provide dedicated secretarial and administrative support across our specialist clinics, reporting to the Practice Manager. This is a busy, varied and rewarding role involving direct support to individual specialists and close collaboration with the practice principals across a wide range of administrative duties and practice-support tasks.
This position commences as casual, with a structured pathway to permanent part-time or full-time within three to six months for the right candidate.
Your work will be instrumental in managing consulting schedules, surgical coordination, patient communication and operational efficiency.
The role also includes opportunities to:
* Contribute to GP liaison and referrer engagement
* Assist with social media and practice marketing activities
* Support the practice principals with broader administrative projects as the group continues to expand and grow
We strongly encourage applications from experienced Medical Secretaries / Personal Assistants seeking a stable, high-quality practice environment. Strong junior candidates who present well and can present an aptitude for learning will be considered.
Remuneration will always be above the Award and based upon experience.
Key Responsibilities
* Manage consulting sessions, theatre lists and specialist schedules
* Keep an accurate, dynamic and achievable diary for Principal Specialists
* Coordinate patient appointments, procedures and follow-up care
* Prepare correspondence, referrals, quotes and consent documentation
* Maintain accurate and timely patient and administrative records
* Liaise professionally with patients, hospitals and referring clinicians
* Assist with referrer communication and GP / representative liaison
* Support social media, marketing and broader practice operations as skills allow
* Contribute flexibly across the practice as needs arise

Essential attributes:

* Willingness to provide occasional after-hours overtime or weekend cover and to cover colleagues' leave
Advantageous attributes:
* Experience in a medical practice or hospital setting
* Familiarity with Genie, Gentu or similar practice management software
* Interest in marketing, social media or referrer engagement
Strong candidates without specialist practice experience but with demonstrated aptitude and professionalism are encouraged to apply.
