THE ROLE
We're looking for a reliable, detail-driven
Purchasing Assistant
to support our Purchasing team with inventory coordination, product setup, planograms, and system accuracy.
This is a
hands-on, execution-focused
role suited to someone who enjoys structure, process, and doing things properly. You'll work closely with the Head of Purchasing and internal teams to ensure product data, stock levels, and internal systems are accurate and up to date.
Key Responsibilities:
Inventory Coordination
* Process and track stock request forms from stores and internal teams.
* Investigate stock variances with the warehouse and provide clear updates on stock availability and ETAs to Customer Service and Fulfilment teams.
* Assist with regular stock takes and expiry checks.
* Support stores in maintaining Minimum Stock Levels (MSLs) across key product ranges.
Product Setup & Systems
* Create, update, and maintain accurate product information across Shopify, Retail Express, and Unleashed.
* Ensure pricing, barcodes, categories, variants, and product details are correct and consistent across systems.
* Maintain clean, accurate Excel spreadsheets for reporting, validation, and bulk updates
* Support the onboarding of new products and brands through internal approval processes.
Planograms & In-Store Support
* Assist with planogram setup and maintenance to support in-store merchandising standards.
* Work with internal teams to ensure product layouts and store data are accurate and up to date.
Internal Communication & Team Support
* Communicate purchasing updates and product information clearly across the business via email, chat, and
* Attend training sessions and cross-functional meetings as required.
* Provide general administrative and operational support to the Purchasing team.
Health, Safety & Compliance
* Follow all WHS policies and contribute to a safe, clean, and respectful workplace.
* Report hazards or incidents as required.
ABOUT YOU
* Exceptionally organised with strong attention to detail and follow-through
* Punctual, dependable, and consistent in attendance.
* Confident communicator who works well across departments.
* Basic working knowledge of Excel and Microsoft Office is essential.
* Comfortable working across multiple systems and learning new platforms.
* Motivated by accuracy, structure, and process — not shortcuts.
* Experience with Shopify, Retail Express, Unleashed, or is advantageous but not essential. Training will be provided for the right candidate.
