About the role:
At Hikma House, we are seeking a reliable and organized Part-time HR & Administrative Assistant (3 days per week, Monday to Friday) to support Administrative and HR tasks. You will assist with recruitment, onboarding, and compliance, while managing day-to-day administrative tasks. Acting as the first point of contact for staff, participants, and external stakeholders, you will help ensure smooth operations and maintain NDIS and company compliance standards.
Key Responsibilities
HR Support:
Assist with end-to-end recruitment, including job postings, scheduling interviews, reference checks, and onboarding new staff.
Maintain accurate and up-to-date employee records in line with NDIS and Fair Work compliance.
Support induction and training processes, including tracking completion of mandatory training and ELMO documentation.
Assist with performance management processes by preparing documentation, maintaining records, and scheduling meetings.
Maintain confidentiality and support HR processes such as leave management, contracts, disciplinary records, and staff communications.
Administrative Support:
Act as the first point of contact: answering phones, managing inquiries, and greeting visitors.
Assist with administrative aspects of participant care plans, including filing, updating, and maintaining accurate records.
Maintain filing systems (electronic and physical) for both HR and organizational records.
Coordinate and schedule meetings, staff training, and other events.
Collate and distribute correspondence including mail, rosters, and HR notices.
Support compliance with NDIS regulations, OHS standards, and organizational policies.
You Will Bring
Strong organizational and time management skills, with the ability to prioritise tasks and meet deadlines in a fast-paced environment.
High attention to detail and accuracy in record-keeping, data entry, and office administration tasks.
Ability to manage sensitive information with discretion, adhering to privacy and confidentiality requirements.
Excellent verbal and written communication skills, with the ability to engage effectively with a wide range of stakeholders, including participants, families, support workers, and external providers.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and HR or client management systems (e.g., ELMO, ShiftCare), with experience in digital record-keeping tools.
Ability to work independently and collaboratively, demonstrating initiative, problem-solving, and a proactive mindset.
Cultural awareness and sensitivity when working with people from diverse backgrounds, including Aboriginal and Torres Strait Islander peoples and people with disabilities.
Commitment to ongoing professional development and willingness to complete mandatory requirements, including:
Criminal History Screening Check (National Police Check)
NDIS Worker Orientation Module
COVID-19 Infection Control/Hand Hygiene Certificate
Knowledge of or the ability to quickly learn NDIS processes and compliance requirements.
Demonstrated ability to adhere to company guidelines and maintain professional standards in all aspects of work.
