The Senior Collection Storage Coordinator manages the activities of a small team who provide specialised packing and logistics support to the Strategic Collection Projects and Registration teams for capital works across the Gallery’s onsite and offsite facilities.
The Senior Collection Storage Coordinator will work with the Collection Strategy Manager and Assistant Registrar, Collection Management & Logistics to monitor the projects deadlines and schedules, plan and execute activities to meet deliverables and communicate clearly with internal and external stakeholders including the Capital Works team.
This is an ongoing, full-time position within the Artistic Programs Portfolio. The role will remain within the Strategic Collections Program team until 28 August 2026, after which it will transition to the Registration team.
The role is based at the Gallery’s offsite storage facility until 28 August 2026, then relocates to the National Gallery of Australia, Parkes, with periodic duties at offsite storage facilities as required.
The key duties of the position include:
In accordance with the APS 5 work level standards, the Senior Collection Storage Coordinator will:
* Coordinate and oversee the work of the team, ensuring tasks are art handling and movement activities are completed safely, efficiently, and in accordance with Gallery procedures and best‑practice standards.
* Lead the preparation of artworks for storage and transit, including safe packing and crating across all media, ensuring team members follow established methods and quality expectations.
* Plan and schedule project related packing and transport activities, liaising with internal stakeholders to confirm requirements, allocate tasks, and ensure compliance with gallery processes.
* Support senior staff—including the Collection Strategy Manager and Assistant Registrar, Collection Management & Art Services —in developing or refining procedures related to the handling, packing, movement, and storage of works, particularly to meet capital works program needs.
* Monitor and oversee artwork movements, ensuring accurate and timely updates to the Collection Management System and maintaining strong location‑control standards across the team.
* Provide day‑to‑day administrative and operational support, including coordinating equipment needs, organising WHS requirements, overseeing daily workflows, and supporting staff rostering or task allocation.
* Lead by example in undertaking manual handling, including moving artworks, crates, and boxed items, using best‑practice techniques and ensuring safe work practices across the team.
* Maintain awareness of the Capital Works Program, ensuring the team’s activities align with program timelines, collection requirements, and departmental deliverables.
* Coordinate the ordering of materials and support the maintenance of equipment, ensuring availability, serviceability, and compliance with relevant Australian and ACT WHS legislation.
* Promote and model safe work practices, ensuring the team follows National Gallery codes of conduct and WHS requirements to maintain a safe working environment.
