Central Australian Women's Legal Service is a multi-disciplinary service delivering a holistic, culturally safe, trauma informed intensive service model across the Central Australia & Barkly regions.
Our services are available to all persons who identify as women, non-binary, and gender diverse who have been adversely impacted by patriarchal structures and practices.
CAWLS is seeking a motivated Front Office Lead to join the team working together to provide the best experience for clients seeking assistance from CAWLS in Alice Springs. Each day is different, and the work is variable. Team members are expected to step in and assist each other as necessary.
The right candidate will be passionate about improving access to justice for women. Excellent ongoing training and on the job, support will be provided to the successful applicant.
Front Office Lead Responsibilities
Ensuring the office is opened and closed securely each day and that the reception area and interview rooms are ready for clients at the start of each day.
Greeting clients & visitors, answering and directing phone calls and providing relevant information about the organisation and services available.
Administrative tasks such as scheduling appointments, client intake, managing correspondence including referrals, filing documents and maintaining office records & monitoring and ordering office supplies.
Intake procedures including conflict checks, completing intake forms, appointment bookings in calendars using established templates, notifying lawyers of appointments and contacting clients the day prior to remind them of appointments.
Under the direction of the Practice Manager, coordinate Front office team members to ensure coverage over lunch breaks and while others are on leave ensuring all front office tasks are allocated and actioned.
Monitor and action incoming & outgoing emails via the CAWLS generic email inbox and actioning referrals from all agencies in a timely manner.
Collect & enter required data for internal data collection systems ensuring file notes and data entry is completed in a timely manner & provide data reports when requested.
Provide first aid in accordance with training and oversee compliance & ordering of first aid supplies in the office & vehicles.
Participate in projects and activities contributing to the promotion of CAWLS such as stalls at community events.
Assist with vehicle fleet management including arranging vehicle maintenance bookings, regular vehicle cleaning and updating the maintenance register.
Assist to develop workflows and onboarding and training new administrative/front of house staff to ensure a smooth integration into the team, when required.
Report any Work Health Safety issues that may arise or come to attention in the work environment.
Comply with the requirements of any applicable legislation relating to the legal practice.
Other duties as assigned.
General
Participate in regular supervision and undertake training/professional development in consultation with the CAWLS Management Team.
Ensure compliance with CAWLS policies and procedures.
Maintain client confidentiality at all times.
Attend regular staff meetings as required.
Maintain a teamwork approach at all times.
Undertake administration and other relevant duties as directed by CAWLS Management.

Selection Criteria
Formal qualifications are not required for this position however previous experience working in an office environment is a requirement including:
High level customer service & office administration skills
Demonstrated ability in the use of computer software programs in particular MS Word & MS Excel and Outlook.
Strong communication skills including the ability to communicate effectively with a diverse range of cultural and social groups.
Excellent attention to detail and written skills when communicating with others, both internally within the organisation and externally.
Ability to accomplish objectives effectively within time frame given and carry out administrative duties in an efficient and timely manner.
Experience in day-to-day office management and the ability to supervise team members
A strong commitment to cultural safety when assisting women from diverse cultural backgrounds including Aboriginal women.
Demonstrated understanding of confidentiality and ability to be discreet.
A client orientated approach including the ability to effectively manage and prioritise workloads and to show initiative in the workplace.
Demonstrated ability to show initiative and problem-solving skills.
Proven ability to work both autonomously and as part of a team; willingness to assist and support others as required and get on with team members including taking directions from management & legal practitioners.
Personal commitment to reflection and self-care to build resilience and minimise the impact of vicarious trauma.
Current NT Driver's License, NT Ochre Card & Criminal History check (or the ability to obtain).
First Aid certificate
Previous experience working in a community legal service.
Knowledge and understanding of the issues women face in seeking access to justice particularly aboriginal women and those whose first language is not English.
Trauma informed training.
