Long Description

Role Purpose

At Yarra Trams, our mission is to deliver world-class transport services to our passengers. In this role, you will contribute to this goal by:

* Coordinating administration activities for the NGT Project team including document control, correspondence management, quality assurance and administration support.
* Ensuring that Yarra Trams meets its contract and Franchise agreement timeframes to maintain and demonstrate Document Control Arrangements, Records Management, Regulatory Compliance and Process Control.

Responsibilities

* Manage project documentation including working with the State’s Document Control System (Team Binder) and SharePoint and maintain records of Yarra Trams input into the NGT program.
* Maintain and update relevant document registers in Excel and SharePoint ensuring revisions, dates and other document references are correct and in alignment with States program.
* Facilitate and coordinate register of responses as required from across Yarra Trams functions to requests from third parties.
* Organise and distribute documents from the NGT design packages to relevant stakeholders.
* Develop and maintain NGT SharePoint collaboration website and distribution lists.
* Assist with the preparation of templates, reports, letters and other documentation as required by Management and the NGT Project team.
* Manage team calendar including scheduling meetings and capturing meeting minutes as required.
* Complete general administration tasks for the NGT project team as required e.g. maintaining register of confidentiality deeds.

Skills & Experience

* Minimum of 3 years’ experience in a similar administration role
* Desirable experience in Maximo
* Experience in MS SharePoint and MS Project suite
* Familiarisation with Team Binder desirable
* Strong organisational skills and ability to deliver to project timeframes as required
* Ability to work in a group and understand others’ needs
* Experience in effectively prioritising tasks
* Demonstrated ability to perform under pressure to meet deadlines
* Strong stakeholder management and ability to engage with the team
* Experience in rolling stock, construction or public transport project environment
* Awareness of occupational health, safety and environmental issues in the workplace
