Job Description
We are seeking a detail-oriented Administration Officer to join our team, providing high-quality administrative and customer service support to Navitas Skilled Futures (NSF) across all services, programs and sub-programs as required.
Key Responsibilities
Provide administrative support for the business and work closely with internal stakeholders to ensure that all assigned administrative tasks are completed in a timely fashion.
Maintain accurate and up-to-date electronic records to ensure compliance requirements are met.
Provide excellent customer service.
Foster professional and effective communication among all business stakeholders.

Key Result Areas
Client Relationship Management
\Promptly and courteously respond to front desk, phone, and email enquiries.
Positively shape the clients' first impression of Navitas Skilled Futures.
Actively promote and market Navitas Skilled Futures programs, services, and expertise to current and prospective clients.
Escalate client feedback and complaints to the appropriate channels.
Assist clients with program, site, settlement, and employment information.
Assist with the organisation and promotion of site events such as fundraising, morning teas, graduation, and open days.
Assist clients and stakeholders onsite as required.
Maintain day-to-day liaison and communication with clients and other stakeholders.
Data Administration
Carry out data entry for identified processes.
Provide administrative assistance and information to the local site teams as requested.
Meet and contribute to the achievement of government contract requirements and key performance indicators (KPIs).
Ensure all business data entry deadlines are met while maintaining accuracy across all databases.
Identify anomalies in data entry and seek rectification.
Ensure client records and personal information are stored securely according to Navitas Skilled Futures privacy policy, contract and legislative requirements.
Escalate any issues in a timely manner.
Reporting and Administrative Support
Sourcing, extracting, analysing, validating data on the NSF reporting systems.
Co-operate with other Navitas Skilled Futures staff and external agencies to ensure compliance with privacy regulations.
Support the delivery and administration of the Volunteer Tutor Scheme.
Provide administrative assistance and support across projects, operational and system improvements.
Provide administrative assistance and information to the business as and when needed.
Liaise with relevant staff to assist with asset maintenance and stocktakes, including teaching resources, furniture and equipment.
Support the business with maintenance and updates of the Quality Management System (Policy Hub).
Systems and Technology
VETtrak data entry and reporting.
Commonwealth systems such as ARMS, ImmiAccount and Workforce Australia Online.
Provide up-to-date and accurate systems information and assistance.
Other
Perform other administrative duties as required by the business.
Comply with Navitas Skilled Futures regulations involving health, safety and welfare and other relevant company policies and Values in Action.
Seek continuous improvement in delivery of administrative support, and implementing and modelling high standards of work performance.
Ensure legislative compliance for the health and safety of staff and students at Navitas Skilled Futures.
Qualifications
The candidate we seek will ideally have the following:
High attention to detail and accuracy across all data processes and functions.
Proven ability to provide exceptional personal and professional customer service to diverse cultural groups, fostering inclusivity and understanding.
Established ability to prioritise tasks effectively to ensure timely and efficient delivery of outcomes.
Demonstrated high level written and verbal communication skills with ability to effectively liaise with key stakeholders in a multicultural learning environment.
Advanced computer application skills including Microsoft Office suite and knowledge of Student Management System VETtrak.
Desirable
Previous experience in an administrative role within the VET sector.
Knowledge of Adult Migrant English Program (AMEP) and Skills for Education and Employment (SEE) programs.
