The opportunityThis is an exciting and varied role in a busy environment, providing high-level and confidential secretarial services to the Ballarat Executive team and their divisions.
Who we are looking for To be successful in this role, you will be highly competent in the following key tasks:
* Schedule appointments for the Executive team, manage diaries, screen and monitor telephone inquiries and perform appropriate follow-up actions
* Coordinate venues, room bookings, catering and room set-up for meetings, seminars and other functions
* Preparing travel arrangements for the Executive Directors and their wider management team, including completing financial documentation.
* Preparing reports, briefs and correspondence (including data analysis) and managing files using an electronic record management system.
* Compiling and managing meeting papers and instituting strong governance around recording minutes and actions.
The ideal candidateTo be successful in this role, you will have:
* Experience in providing secretarial services in a senior management/executive environment.
* Exceptional communication skills - interpersonal, verbal and written.
* Excellent organisation and time management skills.
* Demonstrated initiative and the ability to work autonomously.
