Primary objective
Provide high level and effective executive, corporate, administrative, Ministerial, research and secretarial support to the Deputy
Chief Executive of the Department of Industry, Tourism and Trade including co-ordination of outputs from the Agriculture,
Fisheries and Biosecurity Division to ensure divisional priorities are met.
Key duties and responsibilities
1. Providing a high level of administrative support to the Deputy Chief Executive.
1. Record, track and oversee the timely movement and processing of correspondence through the Deputy Chief Executive's
office including initiating follow up action, processing Ministerial requests and relevant reporting requirements for the division.
1. Coordinating administrative and corporate support services to the office of the Deputy Chief Executive necessary for the
timely and effective implementation of the Department's strategic plan.
1. Coordinating, collating and providing relevant papers and briefings prior to the Deputy Chief Executive's meetings and
preparation of correspondence of a routine nature for the Deputy Chief Executive's signature.
1. Monitoring the Deputy Chief Executive's calendar and emails, and arranging meetings, travel and events for the Deputy Chief
Executive as required.
1. Providing assistance to the division's Senior Executive Directors, and advice and support to divisional staff in the preparation
of high-quality documents for the Deputy Chief Executive, Chief Executive Officer, Ministers, other jurisdictions, the
Commonwealth and Industry.
1. Managing a range of procurement functions including purchasing stationery and processing credit card transactions.
Selection criteria
Essential
1. Demonstrated experience working within an executive level team and a proven ability to exercise sound judgment, particularly
in respect to confidential and sensitive matters and ability to assess issues and prioritise them.
1. Demonstrated personal, interpersonal, written and oral communication skills to be able to communicate professionally,
discreetly and effectively at all levels.
1. Proven capability in providing secretarial and administrative support at an executive level, with high level computer skills,
sound writing and a demonstrated attention to detail and accuracy.
4. Self-motivated, with highly developed organisational and time management skills and the ability to effectively manage several
projects and competing deadlines.
5. Ability to be innovative and flexible in response to achieving outcomes, undertake research and make recommendations
regarding appropriate action to senior officers.
6. Understanding of key processes including the financial management, procurement operations, human resource practices,
administrative support and high-level correspondence.
1. Sound working knowledge of office-based computing applications including Word, Excel, PowerPoint, electronic record
management, and general administrative procedures including records maintenance and management, Ministerial processes
and procedures.
Desirable
1. Tertiary qualifications relevant to the position.
1. Sound knowledge of the agency, its responsibilities with NT and Commonwealth agencies and other key stakeholders.
