ABOUT THE OPPORTUNITY
Stadiums Tasmania is seeking a proactive and organised Executive Assistant to support the organisation's CEO, Board and Executive Leadership Team.
This is a parental leave cover position and a great opportunity to take on a fast-paced, high-energy role where you will have real impact across the business.
You will be the coordination hub for the Executive Leadership Team, managing diaries, preparing briefing materials, organising meetings, and maintaining organisational coordination.
KEY SUCCESS FACTORS – WHAT YOU WILL BRING TO THE TEAM
We're seeking a proactive and highly organised Executive Assistant who brings initiative, professionalism, and the confidence to work independently while building strong relationships across the organisation.
MAJOR DUTIES
* Provide high-level administrative and coordination support to the CEO, Board and Executive Leadership Team.
* Manage calendars, priorities, workflows, and the flow of information across the organisation.
* Prepare briefing papers, correspondence, background material, and reports.
* Act as a primary contact for the CEO, building strong relationships across government, industry, sport, entertainment, and community stakeholders.
* Provide professional, timely, and diplomatic communication on behalf of the executive office.
* Work closely with internal teams and government departments on content accuracy and approvals.
* Coordinate complex meetings, events, workshops, and travel arrangements.
* Prepare agendas, minutes, and supporting materials for executive and stakeholder meetings.
* Provide support on strategic initiatives and organisational projects as required.
* Contribute to building positive workplace culture and efficient executive operations.
* Undertake project tasks at the discretion of the CEO, Board or Executive Leadership Team.
ESSENTIAL
* Demonstrated experience providing executive or high-level administrative support.
* Strong organisational skills with the ability to prioritise competing demands in a fast-paced environment.
* A high level of professionalism with strong judgement, confidentiality, and discretion.
* Excellent interpersonal and written communication skills with the ability to work confidently with senior leaders and stakeholders.
* High digital literacy and the ability to navigate corporate systems, workflows, and records‑management tools.
* A proactive mindset – someone who anticipates needs, solves problems, and takes initiative.
* A current Working with Vulnerable People card, or ability to obtain one.
DESIRABLE
* A broad understanding of the Tasmanian and Australian sports and major events landscape.
* Current Driver's License.
