The roleReporting to the Chief Mental Health Alcohol and Other Drugs Officer, this role provides high quality, timely and professional administrative functions and executive support. You will:
- Provide face to face and 'virtual' support to a very busy executive office
- Undertake diary management, coordination of bookings, management of meeting materials and briefing notes, secretarial support, inwards/outwards and organising catering, equipment, travel and transport
- Assist in the management of office correspondence and preparation of briefing notes, submissions, Ministerial and general responses on behalf of office
- Maintain effective relationships with senior stakeholders and executives
- Coordinate compliant and timely completion of human resource, payroll, recruitment and finances processes
- Assist with designated projects and related reporting
**The successful personTo be considered for this role, you will**:
- Have demonstrated experience in providing all levels of support to a senior executive within a large, busy and challenging work environment
- Enjoy working autonomously and providing some virtual support or decision making if your senior leaders are not in the office
- Have proven competence providing administration and secretariat support
- Be comfortable with all the Microsoft Office Suite, particularly diary management using Outlook as well as Microsoft Excel and Word
- Have a proven ability to 'juggle' and comprehensively manage an ever-changing calendar and demanding executive schedule
- Have excellent interpersonal skills and ability to deal professionally with sensitive and confidential issues that arise
