About the Role
This role involves providing exceptional customer service, managing spare parts sales and inquiries, and coordinating purchase orders.
Main Responsibilities:
* Generate sales quotations for customers
* Manage spare parts sales and inquiries on our national support hotline
* Prepare and issue invoices and sales orders to confirm spare parts and after-market service orders
* Coordinate purchase order authorisation with the head office as required
* Sourcing and procurement of non-genuine spare parts when necessary
* Quality checks on received goods, ensuring pricing accuracy, and follow up on outstanding orders as needed
* Timely and accurate sales order confirmations to customers
* Accurate business and back-order reporting within deadlines
* Collaboration with management, workshop, and sales teams to establish sales forecasts and address future production supply needs
* Oversight of production jobs, ensuring efficient workflow and operational accuracy by opening, monitoring, managing, and closing these tasks
* Customer satisfaction in relation to spare parts sales and inquiries, with all relevant information accurately captured in D365
* Leverage D365 data management tools to plan and meet customer delivery expectations
* Fulfillment of timely sales delivery (DIFOT) by effectively managing data and collaborating with the sales team on delivery requirements
Requirements:
* 2-3 years' experience in Parts Interpreter or Spare Parts Administrator role or similar
* Experience with ERP systems is essential; proficiency in Microsoft Dynamics 365 is highly regarded
* Solid experience in the processing of purchase and sales orders
* Ability to interpret spare parts manuals and drawings
* High-level organisation, problem analysis, and problem-solving skills
* Flexible, proactive, and results-oriented individual with excellent communication skills
