Sales and Office Coordinator

Reporting to the Fragrance Director, you will support the sales and account managers in the Oceania Fragrance & Beauty Team. Responsibilities include preparing customer briefs, quotes, organising samples, managing office supplies and general office housekeeping.


Main Responsibilities

* Ensure world‑class customer service; manage communication channels via phone & email, addressing inquiries promptly.
* Provide clerical support to Sales & Account Managers: customer requests, quotes, sample preparation, presentation materials and other documents.
* Maintain organised customer documentation and product information: prepare samples, Christmas gifts, calendars etc.
* Create and update Customer Directories with prices, codes and contacts.
* Investigate and resolve customer complaints as necessary.


Administration

* Maintain adequate office supplies; coordinate orders with laboratory staff for lab needs.
* Assist in procurement of market products.
* Support team with administrative tasks: travel, catering, event coordination.
* Manage courier requests and track stock; coordinate inbound/outbound shipping of samples, including customs documentation.
* Record meeting attendance and minutes.
* Handle reception duties and phone line for external visitors and enquiries.


Professional Experience

* 3–5 years of experience in a sales support or administrative role.
* Prior experience in Sales Support, Customer Service or Project Management is highly regarded.


Technical Skills

* Advanced computer literacy, proficient in Microsoft Office Suite, Google Workspace and ability to learn new systems quickly.
* Excellent time‑management skills with ability to multitask and meet tight deadlines.
* Strong interpersonal and stakeholder‑management skills.
* High attention to detail and organisational skills.
* Excellent written and verbal communication, including effective listening.
* Problem‑solving abilities, creative and outside‑the‑box thinking.
* Self‑starter, initiative‑driven with a "can‑do" attitude.
