About the branch The Inquiries, Prosecutions and Administrative Law (IPA) branch of the VGSO comprises a number of legal teams that provide specialist legal services and advice to the State in relation to: Regulation, Administrative Law and Disciplinary Reviews, Inquiries, Royal Commissions and litigation on state care, personal injury. The Administrative and Regulatory Law teams provide litigation services and legal advice in the following areas; investigations and criminal procedure, merits review of administrative decisions and related court proceedings, business and occupational licensing, conduct reviews, professional disciplinary proceedings and summary prosecutions, freedom of information, information sharing and privacy and integrity body inquiries. The Inquiries teams provide specialist legal services and legal advice in relation to Inquiries and Royal Commissions including the establishment of Royal Commissions (exclusive services), management of notices to produce including document review, witness and hearing preparation, briefing and instructing counsel, State submissions and strategic responses, project management and reporting. The branch also offers specialist litigation services in matters involving state care, personal injury, and negligence claims. The civil litigation team primarily handles claims brought by former wards of the State and others who have experienced similar circumstances, including cases involving historical institutional abuse. About the role An exciting opportunity exists for an experienced and motivated Senior Legal Assistant to join the Inquiries, Prosecutions and Administrative Law (IPA) Branch, supporting matters of significant public interest. Reporting to the Branch Practice and Legal Support Team Leader, this role provides high‑quality secretarial and administrative support to a team of solicitors. The work is varied and fast‑paced and may include supporting senior lawyers, assisting with royal commissions and other inquiries, and contributing to the supervision and development of junior legal support staff. The role also offers opportunities for ongoing professional development. We are seeking an experienced administrator who is calm under pressure, able to manage competing priorities, and confident engaging with a wide range of stakeholders at all levels. You will demonstrate sound judgement, excellent written and verbal communication skills, and a high level of attention to detail. This role is well suited to someone who proactively identifies opportunities to improve administrative efficiency at both branch and organisational levels. The Senior Legal Assistant will be responsible for, but not limited to: * Preparing correspondence and legal documents, including drafting * Liaising professionally with clients, witnesses and counsel * Amending, formatting and finalising complex legal documents * Managing legal files, ensuring accurate and up‑to‑date electronic and hard copy records * Diary and email management, including monitoring inboxes, calendars and critical deadlines * Providing telephone support, including screening and responding to enquiries * Coordinating monthly billing processes, including client‑specific requirements * Assisting with monthly reporting and administrative data collection * Providing general administrative support, including photocopying, courier coordination and relieving reception as required * Mentoring and supporting Legal Assistants within the branch * Actively identifying opportunities to reduce administrative workload for solicitors and improve service delivery * Assisting the Branch Practice and Legal Support Team Leader as required Skills and experience * Demonstrated experience as a Senior Legal Assistant within a legal environment, or a minimum of 5 years' experience in a comparable administrative support role (highly desirable) * Proven ability to mentor and support junior staff, contributing to team capability and development * Intermediate proficiency in Microsoft Office Suite and Adobe Acrobat * Experience preparing, formatting and troubleshooting large and complex documents, including resolving formatting issues and document corruption * Demonstrated ability to provide high-quality, responsive administrative support to multiple solicitors in a fast-paced environment * Sound understanding of court systems, processes and legal terminology, with the ability to conduct research using online legal databases and systems * Strong initiative, with the ability to work autonomously and manage competing priorities effectively * Excellent attention to detail, with a strong commitment to accuracy and service excellence Benefits VGSO offers an inclusive, collegiate, and collaborative work environment where you will be well-supported and mentored to develop your knowledge.
