Deliver high-quality executive support that drives strategic outcomes across the Office for People
The Opportunity
As the Executive Portfolio Officer, you will play a central role in enabling smooth, effective, and strategically aligned operations within the Office for People. Working closely with the Chief People Officer, you will coordinate executive support activities, manage critical information flows, and ensure deadlines, priorities, and initiatives are met with professionalism and accuracy.
You will support strategic projects by monitoring progress, coordinating actions, and preparing high‑quality documentation that strengthens decision‑making and governance. Your work contributes directly to people‑focused initiatives that shape the University's culture, workforce capability, and operational success.
This role also supports high‑level stakeholder engagement, internal events, and cross‑unit collaboration. You will build positive relationships, coordinate forums, and maintain systems and records that reflect Western's standards of compliance, transparency, and service excellence.
What Success Looks Like:
* Provide timely and high‑quality executive support, including diary, travel, and correspondence coordination.
* Coordinate stakeholder engagement activities that strengthen relationships and executive priorities.
* Contribute to effective budget management across the P&C portfolio, working in partnership with Finance to support governance, and planning.
* Monitor and report on project progress to ensure milestones and deliverables are achieved.
* Apply policy and governance requirements to maintain compliance and high standards of operation.

About You
* Tertiary qualifications and/or equivalent experience in executive support and project coordination.
* Ability to manage competing priorities in a dynamic, fast‑paced environment.
* Strong written communication skills and proficiency in Microsoft Office and digital collaboration tools.
* Excellent interpersonal and stakeholder engagement capability.
* Demonstrated experience managing confidential information and supporting governance processes.
