We are seeking an energetic and proactive Service Scheduler who will be based in our Gladstone office to assist with scheduling service work and supporting and coordinating all administrative related activities and duties for the workshop.
Key responsibilities of the role:
* To attain the performance goals and KPIs as agreed with Pacific Controls Management. The goals and targets will include sales (invoicing) and productivity (scheduling) targets
* Plan, cost, quote and schedule service works
* Provide progress, status & forecast reports
* Facilitate stock takes for reports creation
* New job creation on the operating system
* Log, process and update all workshop service documentation to ensure compliance with ISO certification:
* RFQ receipts prioritising and actioning
* Spare parts inwards & outwards processing
* Compile customer service proposals and pricing
* Compile documentation required for new jobs
* Drive effective task/ job planning & scheduling – Field and workshop based
* Support task execution through spares ordering and allocation
* Improving the efficiency of the Service Department
* Assist in report generation on job status & progress
* Keep the operating system status always updated and current
* Drive invoicing and dispatching
* Periodic stock take & reports
* Liaise with internal & external parties
* Participate in toolbox & staff meetings
* Ensuring all aspects of Business Management and Sales are fully understood and implemented in conformance with WHSE requirements and legislation
* Update any requested WHSE documentation as instructed by Q&A Compliance staff
The successful candidate will have:
* At least a Certificate III in Business Administration
* Previous experience in scheduling (advantageous)
* Prioritisation and organisation skills
* Ability to multitask and manage work in progress effectively
* Excellent written and verbal communication skills
* A proactive, solutions-focused mindset
* Proficiency in Microsoft Office Suite (Outlook, Excel, Word)
* Strong attention to detail
This is a permanent, full-time role that consists of 38 hours per week, worked as follows:
* Monday: 7:00am to 3:30pm
* Tuesday to Friday: 7:00am to 3:00pm
