ABOUT THE ROLE

The role of the Legal Secretary is to provide comprehensive and high-level executive support to the Kimberley Land Council's Legal Unit, working collaboratively in a multi-disciplinary team of lawyers, anthropologists, and specialist administration officers for the effective delivery of services relating to native title proceedings, future acts, and PBC governance and compliance.

This position operates out of Broome KLC office.

KEY RESPONSIBILITIES

Dutieso Act as primary point of contact to the Legal Unit at all times.

o Supervision of legal administrative staff including performance appraisals consistent with KLC's policies, including identification of staff training and development needs.

o Management of compliance and recordkeeping in line with the regulations and requirements of the Legal Practice Board of Western Australia (LPBWA) as follows:

· CPD compliance by 31st March annually.

· Practice certificate & exemption compliance and renewals by May annually; and

· Assist the Business Operations Unit with the KLC's annual exemption compliance due at the end of the financial year annually.

o Legal secretarial and administrative support to the Legal Unit ensuring smooth business operations, including oversight and delegation to legal administrative staff for optimum and timely outcomes. Duties include:

· Manage court portals and assist with court filing, briefs or other such legal documentation as may be requested by any Legal Unit staff.

· Maintain staff movements, staff onboarding requests (including interns), calendars, and the like.

· Booking assistance including liaising with Corporate Traveller (agent), travel allowance and cab charges, arranging meetings, catering and venues, etc.

· Basic financial support including purchase orders, reimbursement forms, invoice processing, subscription oversight, stationery orders and other duties.

· Filing management including hardcopy, historical, e-filing and digitisation projects in a timely and effective manner.

· Manage incoming mail and telephone enquiries.

· Any other such duties consistent with the above as requested.

o Assist the Legal Unit and Native Title Services Unit (NTSU) in governance duties to support Prescribed Body Corporate's (PBCs) aligning with the KLC's terms of service, and complying with ORIC's regulations, including contact person duties, member registers, corporation forms and documentation. And assist the Executive Assistant in relation to the KLC's corporation documents.

o Act as financial liaison between the Legal Unit and third parties for any contracts and financial agreements, subscriptions, etc and effective invoice processing and recordkeeping thereof.

o Administration training of new staff or interns within the Legal Unit (and where required, other units) i.e. physical and e-filing, software use, and other such onboard administrative training relevant to the Legal Unit's operations.

o Perform any other duties consistent with above as requested by any of the KLC's senior management, including minute taking, reception roster support, KLC's AGM support, and other such duties as may arise.

Essential:

* A certificate/diploma in administration or office procedures or equivalent experience.
* Demonstrated experience in managing staff and managing conflicting workloads and responsibilities.
* Demonstrated autonomy and teamwork skills, strong analytical and organisational skills, excellent interpersonal, oral and written communication skills, and ability to manage competing deadlines, confidential material, and financial tasks.
* Commitment to quality improvement including reviewing, developing and implementing policies, procedures and templates.
* Understanding of the cultural, social, economic and political issues that affect Indigenous people.

Desirable:

* Experience in a legal environment.
* General Knowledge of Native Title issues.
