Finance Assistant, First Aid and General Administration

Rangeview Primary School is situated in the outer eastern suburbs of Melbourne. Extensive development of our school's facilities and grounds has been completed and in turn has created engaging and contemporary learning spaces. Selection Criteria

* SC1 Demonstrated capacity to perform duties consistent with established guidelines and frameworks, including coordinating and supporting others in respect to specific work functions relevant to the role.
* SC2 Demonstrated capacity to work and collaborate with others in a team environment.
* SC3 Demonstrated capacity to communicate effectively in a team environment, including high level oral and written communication skills.
* SC4 Possess the technical knowledge and expertise relevant to the position.
* SC5 Demonstrated capacity to provide advice and support to management and other school staff in respect to the work area.

Role

An education support class position at this range will perform tasks that are carried out in accordance with guidelines, accepted practice, and school policy under supervision and direction. This may include coordination of other education support class staff within the work area or educational program. An education support class position supports the educational services being provided to students but must not include duties of a teacher as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor.

Certification and/or qualifications of up to three years can be required at this level (noting that Registered Nurse is not included at this level, the first level for which is Level 1 range 3). A role at this range may include:

* Specific support tasks to achieve outcomes, typically involving accountability for a single function (e.g., ensuring data is properly maintained) or coordination of a work area under the direction of the principal or a manager.
* Assisting teachers, within an educational program, by undertaking specific support tasks or coordinating the support function.
* Supervised health and wellbeing support tasks, medical intervention support tasks, or other specialised student/teacher support roles (e.g., enrolled nurses performing the role as described in schedule 3).
* Technical tasks that require a sound knowledge of basic technical and/or scientific principles that are used to develop and adapt work methods and make judgments where there are clear guidelines and limited options.

Initially the position will undertake routine tasks under close supervision and direction. Work that carries some degree of independence will generally involve a limited number of tasks performed on a regular basis where priorities are clear, procedures are well established, and direction is readily available. Subject to any specific qualification and/or training requirement, an education support class employee employed in this range may be progressively required to undertake coordination, specialised student/teacher support tasks, or technical tasks as experience in the role is gained.


Responsibilities

Working hours
8:30am – 4:00pm, Monday to Thursday.

We are looking for a dynamic and enthusiastic team member to join our administration team. Our team is made up of the School Nurse, Office Manager and Business Manager.


First Aid

* The First Aid officer acts as the first point of contact for all first aid enquiries and is part of the administrative team who work collaboratively, ensuring a productive, efficient and respectful workplace.
* Administer First Aid as required to students and staff in accordance with DE guidelines.
* Administer medications according to medical manager plans and school processes.
* Contact parents and emergency services as required.
* Maintain, enter and retrieve data from the school's management system in relation to first aid.
* Notify Leadership of serious injuries, illness or suspected wellbeing concerns.
* Conduct follow‑up communication with families after significant health incidents.
* Maintain confidentiality and sensitivity in all aspects of the role.


Accounts Payable

* Maintain financial data entry within Compass and CASES21 finance including entering Purchase Orders from Compass and AIMS, creditor details and invoices.
* Coordinate and perform all tasks related to accounts payable through CASES21, Compass and various banking platforms.
* Prepare creditor payments on CASES21, filing of invoices and payment documentation as per audit requirements.
* Assist with creditor queries.
* Reconciliation and management of Schools Purchasing Cards.
* Follow up with staff regarding outstanding purchase orders and invoices.
* Reconciliation and management of all excursions and activities.
* Assist with maintaining the school's financial records including storage and archiving.
* Assist with preparation of financial documentation and data for budget preparation.
* Provide staff with financial reports from CASES21 and assistance to Compass Finance when required.


Accounts Receivable

* Process daily EFT, cash and Compass.
* Assist with the collection of fees and liaise with parents on payment plans.
* Process all charges associated with excursions and special events.
* Process Sundry Debtor invoices e.g. school facility hiring.
* Preparation of banking and if necessary taking cash receipts to the bank.
* Send Debtor statements and follow up outstanding amounts.


Administration

* Support Office Manager with providing a welcoming and professional first point of contact for students, families, visitors and staff.
* Support Office Manager with answering incoming calls, emails and enquiries.
* Support Office Manager with student attendance.
* Collect and distribute mail, accept deliveries to the school.
* Provide routine clerical or other administrative support.
* Order stationery and paper deliveries as required.
* Ensure all processes are carried out in a timely and efficient manner, maintaining confidentiality and workplace safety.
* Assist in maintaining a safe and healthy working environment by complying with DE, school and OH&S policies and procedures.
* Undertake other duties relevant to the field of responsibility as requested by the Business Manager and Principal in accordance with ES1-2 dimensions of work.
