We have an opportunity for a Personal Assistant to join the team at Stockland. In this role, you will organise and support the General Manager of Civil & Infrastructure Project Management by providing high level of support in administration, communication and information/ workflow management.
This role offers the flexibility to work between the office and home.
**About the role**
You will draw on your experience and skills to plan, priortise and execute according to the priorities of the role and comfortable working in an agile environment with the ability to be adaptable to the situation. Using your experience in diary management, you will flag and highlight where necessary ensuring the smooth running of a General Manager in high demand. Building trust and rapport quickly and effectively will see you succeed in this role.
**Responsibilities include but are not limited to**:
- Diary management and coordination of any related travel or event management requirements
- Managing inbox and confidential information as required
- Prioritising correspondences accordingly and briefing the General Manager
- Office management and smooth coordination of business facilities and events
- Preparing presentations, contracts, correspondence and reports as required to deadlines
- Information management and retrieval from relevant systems, including managing files and records and maintenance of processes
- HR focus including people management and resourcing requirements across the team
- Preparation of agendas and minute taking as and when required
- Collaborate and build relationships with key stakeholders internally and externally
**About you**:
- Experienced, confident Personal Assistant accustomed to working in a fast paced, deadline driven, changing environment, with a strong ability to priortise competing demands
- Relevant experience supporting a General Manager one on one and providing ad hoc team support
- Exceptional stakeholder management skills
- Strong attention to detail with impeccable written and verbal communication skills
- Highly organised, strong sense of initiative, exercises discretion and a proactive approach
- Proficient with Microsoft Office Suite
- Ability to work autonomously
