About the role

HeliSpirit is seeking an Administration Officer to join our base in Kununurra for the 2026 season. You will be responsible to oversee the efficient coverage of the HeliSpirit reception, coordinate the base logistical requirements and support the Travel and Accommodation team by undertaking a range of duties related to staff accommodation in Kununurra. In addition, you will assist HeliSpirit management team with administrative task and duties.

Key Duties and responsibilities of the role include

* Answer the phones promptly and direct calls in a professional manner while acting as the first point of contact for front office enquiries
* Work closely with the Travel and Accommodation team to manage rental housing including property inspections, arranging cleaners, coordinating move in and move out and other accommodation related tasks
* Organise, order and manage uniforms for HeliSpirit as well as Aviair's Kununurra base
* Provide logistical support for remote bases including staff food and miscellaneous items - ordering and delivery coordination
* Provide high level sales support and detailed advice to customers enquiring about HeliSpirit scenic flights and charters, in conjunction with the Reservations Team
* Assist the Accounts Department as required, including accounts entry and credit card expenditure documentation provision
* Contribute to the day-to-day running of HeliSpirit logistics and business operations, manage pilot manifests, and be responsible for holding SARTIMES and follow up with procedures if a SARTIME expires
* Required high level of product knowledge throughout the season and be familiar with all tours offered by the companies and maintain a high level of customer service
* Provide administrative support to the management of HeliSpirit across all bases, including the formatting of Tenders and other documents
* Ensure an effective operation of the HeliSpirit office, including reception duties, stationary orders, printing of manuals, filing and data entry

* Excellent administration and communication skills with experience in customer service or client facing roles
* Strong time management skills with strong attention to detail
* Valid driver's licence
* A team player who will support other key staff within the business
