Administration Officer – Integrated Clinical Services
Base Salary: $79,827- $85,067 p.a. (Admin 4.1-4.4 Classification as per EBA)
About the role
The Administration Officer – Integrated Clinical Services provides high-level administrative coordination and operational support across ICS, acting as the central administrative point for the Executive Manager – ICS. The role supports clinical governance, reporting, workforce administration, Release of Information processes, and central inbox coordination, ensuring systems, documentation, and workflows are efficient, compliant, and auditable. The position also manages and supports the Patient Management Program (Communicare), including appointment stream configuration and system administration, and works collaboratively with clinical, corporate, and administrative teams to enable effective, integrated clinical service delivery and continuous improvement.
What you\'ll be doing
Provide high-level administrative coordination and operational support across Integrated Clinical Services (ICS), ensuring consistent, efficient, compliant, and continuously improving administrative systems, including documentation, registers, and records.
Act as the central administrative point for the Executive Manager – ICS, supporting clinical governance processes, reporting cycles, and executive-level correspondence.
Coordinate ICS meetings, committees, agendas, minutes, action registers, and follow-up, ensuring accountability and timely completion.
Manage ICS reporting requirements, including data collation, quality assurance, submissions, and deadline management for EMT, Board, and external stakeholders.
Support workforce functions for Clinical Services, including recruitment administration, onboarding coordination, position documentation, and establishment tracking.
Manage and support the Patient Management Program (Communicare) within Integrated Clinical Services, including the creation, maintenance, and configuration of appointment streams, system set-up, and ongoing administrative support to ensure accurate scheduling, efficient client flow, and alignment with clinical service requirements.
Support the coordinated management of the Release of Information (ROI) process across ICS, working collaboratively with relevant administrative officers to ensure requests are managed in line with policy, legislation, and organisational requirements.
What we\'re looking for
Demonstrated experience in providing high-level administrative coordination within a complex health, community, or human services environment.
Proven ability to support senior management and executive functions, including governance processes, reporting cycles, and confidential correspondence.
Demonstrated experience managing or supporting information systems, including patient or client management systems (e.g. Communicare or similar), with high-level computer literacy across Microsoft Office and electronic document and records management systems.
Sound understanding of, and experience working with, privacy, confidentiality, and Release of Information (ROI) requirements, including compliance with policy and legislative obligations.
Strong organisational skills with the ability to manage competing priorities, deadlines, and workflows across multiple stakeholders.
High level written and verbal communication skills, including the ability to liaise effectively with clinical staff, corporate services, and external partners.
Demonstrated ability to work collaboratively within a team environment, providing guidance and support to other administrative staff as required.
