You will coordinate high-level executive operations, maintain efficient internal systems, and facilitate clear communication across multi-national departments.This role is well-suited for a tech-savvy professional with demonstrated experience in business administration, stakeholder engagement, and managing high-performing remote, multilingual teams across different time zones and cultures.________________________________________Compensation$75,000 - $85,000 AUD per annum, based on experience, plus generous work perks and bonus programs.________________________________________Key Responsibilities:Office Operations Management: Oversee office systems, supplies, space, equipment, and procedures to support a productive, safe, and globally integrated work environment.Executive Support: Provide high-level administrative assistance to up to three company executives, including calendar and travel coordination across time zones.International Communication & Correspondence: Manage calls and correspondence with global clients and stakeholders professionally in English, Malay, and Mandarin.Stakeholder Liaison: Act as a key point of contact between international internal teams, regional partners, and external service providers.Resource & Facilities Coordination: Maintain office infrastructure and logistics in alignment with remote operational needs.Administrative Compliance: Maintain confidential records and ensure alignment with local and international regulations (e.g., OH&S, privacy, and employment legislation).Team Leadership & Supervision: Lead and supervise remote and multilingual administrative teams, assigning tasks, tracking performance, and promoting a culture of discipline and productivity.Project & Records Management: Coordinate project timelines, support strategic initiatives, and maintain accurate cross-border documentation.HR & Payroll Support: Assist in recruitment, onboarding, training, and payroll processing for globally based personnel.Reporting & Strategic Input: Prepare operational and performance reports for senior management, offering insights aligned with global market demands.________________________________________RequirementsTo be considered for this role, you must meet the following criteria:Minimum Diploma-level qualification in Business Administration, Office Management, or related field (AQF Level 5 or higher).At least 2+ years of experience in office management, administrative leadership, or a similar role – preferably in high-growth or international environments.Demonstrated ability to coordinate systems, manage resources, and supervise remote teams effectively.High proficiency in English, Cantonese, and Mandarin (spoken and written) – essential for communicating with stakeholders across Southeast Asia and the U.S.Experience managing cross-border teams with diverse language and cultural backgrounds through digital collaboration platforms.Strong understanding of administrative compliance and workplace health and safety in international contexts.Tech-savvy with quick adoption of digital tools (e.g., Airtable, Xero, PowerBI, and other cloud-based systems).Excellent communication, interpersonal, and stakeholder engagement skills across varied regions.Experience in aviation or aerospace environments will be highly regarded.Additional language skills such as Malay are advantageous.Ready to help shape the future of aerospace with a global perspective?
