What we are looking for
Right now, we're on the lookout for someone who's proactive, self-driven and really well organised to step into the role of Business and Client Support Assistant. We think it's ideal for someone with a knack for getting on with people, getting things done, and keen to make a real difference.
Providing the Partners and team with administrative and operational support
Ensuring our office runs smoothly and it's a good environment for everyone.
Making sure our clients are well looked after and we're meeting their needs.
Keeping our client and internal information well-managed and easy to find.
Helping out with team events, workshop preparation and printing, travel, and potentially some marketing work.
This is a flexible, part-time role (3-4 days per week), which means we are open to discussing how this might best work for you, and for us. We love our office in Darlinghurst and whilst we embrace flexibility, the nature of the role means we will expect you to spend a good proportion of your time there with us.
What you'll be responsible for
Keeping Things Ticking Over (Office Management)
Organising our internal events, whether it's celebrating something, a charity do, or a client gatherings.
Looking after our relationships with people who help us out, like building managers, trades and our technology support.
Keeping our space ship-shape, and making sure we've got all the bits and pieces we use day-to-day, like paper, sticky notes, snacks and catering.
Manage office access passes, fire safety and first aid compliance, keeping our office safe and sound.
Looking After Our Clients
Being the friendly first point of contact for anyone getting in touch.
Helping out the team who work directly with clients, including planning, coordinating and preparing for client workshops and events.
Dealing with client accounts and invoicing.
Supporting the Team
Proactively supporting us with workshops, research and report printing.
If you are into AI, you'll have the opportunity to use and continually learn.
Sorting out travel and accommodation.
Making Sure the Admin is Sorted
Keeping our client data up to date and dealing with documents securely.
Setting up new clients and team members, and saying goodbye when they move on.
Creating good quality documents, reports, and presentations.
Dealing with office financials including insurance, payments and expenses.
Identifying ways to improve how we work, and putting them into play.
What we think you'll need to be successful
Top-notch organisational skills - juggling tasks and managing your time well.
Great communication skills (written and spoken) and ability to build relationships.
Quality is important to us, so a real eye for detail will go a long way.
A positive and professional attitude, that also means a willingness to muck in and help out with whatever comes along.
The ability to use your initiative and look for ways to make things better.
Integrity - doing what you say you will and understanding the importance of keeping things confidential.
You'll be great with Microsoft Office (Word, Excel, PowerPoint, Outlook) and ideally Google Suite, Xero and Employment Hero.
Experience in something similar before in admin, finance, business support, consulting, or looking after clients.
