As we enter an exciting phase of national and international growth, innovation, and governance maturity, we are seeking an Executive Assistant to support our Board of Directors and CEOs across the Group.
About the Role:
This newly created position will serve as the linchpin of board and executive operations, ensuring that the Board, CEO, and senior leadership are supported with precision, professionalism, and discretion.
You will work closely with the Group Director, Suzie Celotti, and Group CEO, Adrian Celotti, coordinating key governance processes and enabling effective decision-making as the Group scales across Australia and internationally.
This is a flexible role (initially part-time or contract), open to candidates based in Australia, with hybrid and remote options available for the right person.
Key Responsibilities:
* Board Governance Support – Coordinate all board and committee meetings, prepare and circulate agendas, board papers, and minutes, and ensure timely follow-up of actions.
* Governance & Compliance – Maintain corporate registers, oversee ASIC filings, and support adherence to AICD and best-practice governance standards.
* Confidential Document Management – Manage sensitive materials (NDAs, board packs, strategic reports) with the highest levels of discretion.
* Calendar & Travel Management – Coordinate schedules and travel for the CEO, board members, and executive leadership.
* Stakeholder Liaison – Engage confidently with advisors, auditors, and legal and accounting partners.
* Reporting & Insights – Assist with quarterly reporting, KPIs, and preparation of board dashboards and materials.
* Group Coordination – Facilitate communication across Celotti's diverse brands and divisions, ensuring board alignment with strategic initiatives across workforce, education, tech, care, marketing, consulting, and lifestyle.
* Event Coordination – Plan and support board strategy days, retreats, and executive offsites.
About You
You are a seasoned governance professional who thrives in a fast-paced, purpose-driven environment. You bring strong board-level EA or secretariat experience, ideally with a background in legal, governance, or corporate compliance.
You possess exceptional judgment, initiative, and integrity, and you balance precision with warmth — reflecting the family-oriented, high-trust culture that defines Celotti Group.
You'll bring:
* Proven experience supporting a Board, CEO, or C-suite in a complex, multi-entity organisation
* A solid understanding of governance processes and compliance frameworks (AICD or GIA exposure highly regarded)
* Excellent written communication and document preparation skills
* Strong organisational and project management abilities
* A calm, solutions-focused approach under pressure
* Tech literacy and comfort working across digital platforms and remote teams
