Kite Magnetics (Melbourne, Australia) develops and manufactures advanced magnetic materials for use in high perormance electric motors. Our patented Aeroperm nanocrystalline material, originating at Monash University, enables lighter, more efficient electric motors and generators for weight- and energy-sensitive applications.
Role Purpose
Own day‑to‑day purchasing, inbound logistics, goods‑in, and inventory setup so our R&D and pilot‑line teams have the right materials, tools and services, on time, in spec, and documented. You will work closely with Engineering and the Chief of Staff, with additional support from an external Supply Chain Director (consultant). This is a hands‑on role in a fast‑paced startup where confidentiality and good judgment are essential.

Key Responsibilities
Procurement & Sourcing
* Translate approved technical requirements into executable procurement actions and RFQs.
* Identify and evaluate suppliers across raw materials, chemicals/consumables, mechanical components, electrical/electronic parts, tooling/fixtures, lab/test gear, MRO/PPE, machining/fabrication services, freight/3PL, and capital items.
* Prepare purchase requisitions/POs in Xero; track approvals per Delegation of Authority; maintain clean documentation.
* Review simple supplier T&cs; coordinate legal review when required; support negotiation of price, lead time, MOQ, and warranty/returns.
Order Management & Logistics
* Place and track POs; manage ETAs and exceptions. Provide a weekly update to stakeholders (open POs, risks, mitigations, customs status).
* Coordinate airfreight‑first imports (primarily China and EU) via DHL; manage customs clearance with the carrier; prepare/collect import documentation as needed (invoice, packing list, CoO, HS codes).
* Conduct goods‑in checks for correctness, damage and documentation; action non‑conformances with suppliers; release accepted goods to inventory.
Inventory, Stores & Asset Management
* Establish and maintain inventory records for consumables, components and tools (bin locations, min levels, batch/lot, shelf‑life where applicable).
* Perform stocktakes and rolling cycle counts; restock consumables to prevent research/production downtime.
* Tag and register capital assets; coordinate calibration/servicing bookings with Engineering as required.
* Maintain safe storage for consumables, parts and tools. (No dangerous goods currently handled.)
Supplier Management & Onboarding
* Run supplier onboarding against checklists (ABN/GST, bank details, contacts, quality credentials where applicable).
* Maintain supplier master data; track delivery performance and quality to inform future sourcing.
Finance, Reconciliation & Systems
* Three‑way match (PO, delivery, invoice) and liaise with Finance on timely payments.
* Maintain clean digital records (quotes, POs, invoices, COAs, serials) in SharePoint/Teams.
* Contribute to selecting/refining a fit‑for‑purpose inventory management approach as we scale (initially spreadsheet/SharePoint; ERP in future).
Ways of Working
* On-site only (Notting Hill). Flexible 6:30–9:30am start with corresponding finish.
* No regular travel. Limited manual handling; coordinate with the on‑site forklift operator/hoists for heavier lifts.
* Use Microsoft 365 (Excel, SharePoint, Teams) for collaboration and reporting.
Governance & Approvals
* Operate within the company Delegation of Authority (DOA) for spend, supplier accounts and contracting.
* Escalate POs and supplier accounts to the Chief of Staff (and CEO as required by DOA). Seek guidance from the external Supply Chain Director for vendor/terms recommendations.
* Ensure appropriate legal review for service contracts and non‑standard terms.
Requirements
Qualifications & Experience
* Required: Hands‑on experience in manufacturing or R&D environments; strong organisational skills; confident written/spoken communication with suppliers.
* Experience: 1–2+ years in procurement/purchasing/logistics coordination (high‑potential candidates with less experience will be considered).
* Preferred: Certificate IV/Diploma in Procurement, Logistics, Supply Chain or related field; import/shipping basics (Incoterms, HS codes, CoO); familiarity with Xero POs and Microsoft 365.
* Work rights: Full Australian work rights (no visa sponsorship).
